JOB DESCRIPTION: IAPT Team Administrator

REPORTS TO: Practice Manager / Clinical & Commissioning Admin Lead

IAPT GP Lead and GP Partners of University Medical Centre

JOB PURPOSE:

  • To be a part of the Administration Team and aid in developing IAPT services for the University Medical Centre in liaison with the Clinical & Commissioning Admin Lead.
  • To supervise and co-ordinate a comprehensive and effective administration system throughout the service.
  • To regularly review the delivery of a high quality IAPT service in liaison with the Clinical Lead
  • To be aware of and involved with relevant developments within the University Medical Centre that impact on the IAPT services.

OBJECTIVES:

  • To design and implement effective and efficient administrative procedures in line with the Partner Organisation, University Medical Centre.
  • Ensure a comprehensive secretarial and administrative service is provided to the IAPT clinical team.
  • To promote service to partnership organisations across the locality.
  • To assess capacity of service and develop proposals for business development.

MAIN DUTIES:

  • Ensure service is running efficiently and according to service specification. Providing activity data for bi-monthly meetings with Clinical Services Admin Lead and Practice Manager. Addressing any issues within the service and discussing development options.
  • Co-ordinate cover for absence of administrative staff.
  • Ensure clinical staff have up to date accreditation status with appropriate bodies
  • Ensure accurate data activity is recorded by both administrative and clinical staff.
  • Running Monthly Activity Reports, producing timely and accurate invoices.
  • Ensure systems are in place to be able to comply with data recording requirements according to the IAPT specification.
  • To pro-actively seek the views of the University Medical Centre’s Management Team and be able to respond to concerns in a timely fashion, protecting the reputation and integrity of the service.
  • Ensure an appropriate system is in place to respond to internal/external telephone calls and screen these where appropriate and ensure that messages are taken, recorded and passed on in a timely and accurate manner.
  • Ensure that appropriate diary management is in place for the service and clinical team, using both the service software (IAPTus) and clinical software.
  • To ensure communication links are timely across the service in all localities and that communications are delivered to all required members of staff.
  • To report to regular IAPT team meetings
  • Ensure a system is in place to open, sort and distribute mail for the service.
  • Maintenance of records and filing as appropriate ensuring information can be accessed efficiently.
  • Assist in increasing and maintaining information governance standards to include data quality.
  • Any other reasonable duties as may be required from time to time.
  • A positive contribution is made to the formulation of relevant practice philosophy, strategy and policy.
  • Professional skills and knowledge are kept up to date and developed to the benefit of the Medical Centre. (Ensuring training needs are reviewed)
  • Health and Safety responsibilities are fulfilled.
  • Patient Confidentiality is maintained at all times.
