People Admin: Supervisor Position DescriptionReview Instructions

Log into People Admin (PA): As this is asingle sign on, you will use the same username and password you use to log into your office computer every morning.

Once logged in, look to the top right, just below the PeopleAdminlogo, there are two dropdown boxes.

  1. The first dropdown box should read POSITION MANAGEMENT if not, please select Position Management from the dropdown list. (see below)
  1. In next dropdown box, please select “Employee”(see above).
  1. Go to tabs section, along top middle of screen, and hover on “Position Descriptions”tab and select “Staff”and/or “Faculty”(see below) to review your direct reports PDs.
  1. Scroll down the page to see position titles for your direct reports.
  1. To Review a Position Description: click on the position’s title and scroll through the position details. If no updates are needed you may close (log out) of the position after you have completed your review.
  1. To Update a Position’s summary, preferred qualifications, or duties and responsibilities, please follow the steps below:
  • You must be in the position description to make updates
  • Click on the Modify Position Description selection (see below)
  • Click on blue Start button (see below)
  • In “Reason for Modification” box, check Update Position Description
  • In Position Justification box, please type Update Position Description (Click Orange Next button)
  • Classification Details page is informative only. Please Click Orange Next buttonto move forward with your updates.
  • Position Details page: Scroll through to update Summary and Additional Preferred Qualifications boxes ONLY, if needed. Click Orange Next button to move forward with your updates.
  • Duties/ Responsibilities page: Scroll through to review and/or make updates to percentages or work content, if needed. Click Orange Next button to move forward with your updates.
  • Finance pageis informative only. Please Click Orange Next button to move forward with your updates.
  • Supervisor pageis informative only. Please Click Orange Next button to move forward with your updates.
  • Seated Employeeis informative only. Please Click Orange Next button to move forward with your updates.
  • Position Documents is not applicable to this process. Please Click Orange Next button to move forward with your updates.
  • Position Request Summary is last page. To complete your review and/or updates of the position description, click on the Orange box titled: Take Action On Position Request (see below) and select “Submit for Approval(Move to Department Authority)”
  • In Comments box please type,“Position Updated” and include your name. Click Submit. (see below)

IMPORTANT:

  • Please contact Anne DuBois once you have made updates to a position description as Campus HR will need to log in to approve your updates.
  1. To print a copy of the position description, there is a print preview option at the top right of the main page of the position description.

Feel free to print a copy of your position description (PD), or to electronically save the print preview version, for future review and/ormark up. Making notes to a printed or saved copy may be helpful as reference to then make live updates to the position description at a later time in PeopleAdmin.
