Purpose of job:
To provide efficient driving and chauffeuring service, support duties to Facilities unit and maintenance of
Council vehicles.
Context and environment:
Malaysia is part of the East Asia region. The Malaysia Teaching Centre is one of the largest in the British Council’s global network with thousands of adults and young learners studying with us at any one time. We also have a large examinations operation facilitating the taking of UK examinations. In addition, we have enquiries about our educational and arts services. Our customers engage with us face-to-face, online, through email and via the phone, and as a result we have a large Sales and Customer Management team to ensure an efficient level of service. The operation employs approximately 370
Malaysian and non-Malaysian contract staff and also relies on hourly-paid and temporary staff to manage the business.
Accountabilities, responsibilities and main duties:
Driving/Chauffeuring
· To provide driving services to staff and exams team, according to the transport booking schedules.
· To provide chauffeuring services to Director Malaysia and visitors to external event(s) in accordance to the booking schedule.
· To be punctual according to booking schedules, and inform relevant staff or visitors if there are any changes.
· To check out the route to the destination before driving if in doubt.
· To maintain British Council vehicles according to BC standards, which includes the following:
a) daily cleaning/washing in the morning or any time available on both interior and exterior of the vehicle
b) regular checking to ensure there is sufficient petrol and water in the tank
c) to ensure Council vehicle is maintained once every 3 months or 5,000km whichever is earlier d) to check Council vehicle is clean regularly and sufficient petrol and water in the tank
· To take extra care and responsibility when driving
· To ensure all driving details are recorded in the log book, and log book is to be submitted to
Facilities officer for verification on a daily basis.
· To report any problem immediately to Facilities Officer
· To ensure all driving requests are responded (whether available or not available), and recorded accordingly on the booking schedule.
Despatch
· To despatch letter/s or materials (as requested by staff), as soon as and if there is vehicle available
· To make monthly statutory payments at the respective government offices for EPF and income tax office
· To send and collect mails from the Post Office in the morning by 9.15am daily
· To collect mails & parcels on a weekly basis from the British High Commission
· To send bulk mailing as and when needed with the help of respective unit
· To send parcels to Penang by Kiriman Ekspres at KTM Railway Station
· To send staff to bank when Driver (A) is unavailable.
Other Support Duties
· To assist in clearing in/out trays twice a day, once in the morning and once in the afternoon.
· To assist Facilities Unit such as folding letters, wrapping parcels, manual handling and assisting with Health & Safety matters.
· To assist with the opening up of the office in the morning by 7.00am on weekdays. If unable to do so, to inform Facilities Officer by 6.45am.
· Any ad-hoc task(s) assigned by the Premise & Services Officer and/or Facilities Manager
· Health & Safety – to be aware of risk at work area and adapt good working practices.

Internal Business Stakeholders and external visitors.
Other important features or requirements of the job
Must be willing to work overtime and travel outstation whenever required. And occasionally working hours would be long and irregular due to the external event attended by the Director Malaysia.
