Orchestra Directors:
We look forward to hosting this year’s Region 23 East Zone Junior High String Orchestra UIL Concert and Sight-Reading Contest on April 14th, 2016. In preparing for the event please review the following information and refer to it as necessary.
UNLOADING/PARKING
Plan to arrive at least 15-30 minutes before your scheduled warm-up time. Please ask your bus driver to drop off students at the North Visitor’s Entrance, located to the left of the Theater off of High Star Rd. Student assistants will meet you at the drop off point. Directors and parent chaperones must be escorted to the main entrance to check in with a current driver’s license. Students should remain on the bus until this security check has been taken care of.
After security check, directors may check-in with the UIL office located in main office conference room (please refer to map) while you check-in your students will be guided to either the cafeteria or N105 for unpacking. After UIL check-in you will be walked down to your students. This is the best time to take care of restroom visits.
Directors: Please get the contact information for your bus drivers prior to your arrival at EHS. They will have to park in the North Visitor’s Lot across the street from Elsik (see map). When you have finished you will need to contact them to drive back to the North Entrance.
CONTEST FORMS
Remember to bring:
1. Updated and signed “Form 1.”
2. Three original numbered scores.
3. Three copies of your set-up chart.
CONTEST AREAS/ROOMS
Contest Office – Main Office Conference Room Warm-Up Room – Band Hall (N104)
Unloading/Unpacking – N105/Cafeteria Concert Stage – Elsik Little Theater
Sight-Reading – Orchestra Room (S104) Judges’ Hospitality – Choir Room (S105)
We will provide the following items for warm up.
· McAdams Tuner
· Grand Piano
STAGE SET UP
In addition to chairs and stands we will provide:
· Yamaha Concert Grand Piano (1)
All other equipment, including stools for your bass players and roc-stops for low strings, must be provided by your organization. If your ensemble has any large equipment (harps, etc.) that needs to be unloaded directly to the Theater then ahead of time so we can make the necessary arrangements.
ETIQUETTE
Your students will be moving through the contest areas during other schools’ performances as well as regular classes. Please speak to your students in advance about correct etiquette during the contest. Minimal distraction is the key to a successful contest performance!
Also, please help us to strictly enforce the following:
1. NO FOOD OR DRINK IN ANY REHEARSAL OR PERFORMANCE AREA.
2. ADULT CHAPERONES MUST BE WITH YOU TO WATCH YOUR STUDENTS AS YOU ARE TAKING CARE OF CONTEST BUSINESS.
MISCELLANEOUS
· Some of the spaces that your groups will be in are carpeted so please take the necessary precautions.
· We cannot be responsible for lost or stolen items.
· At the end of the contest we will do our best to hold any items left behind by your group for pick up. Please be sure everything you bring is labeled with a name or campus.
· If you require any special arrangements please let me know by Monday, April 11th.
