Your assistance to make sure that Council employees are paid correctly is much appreciated; please see guidance below:

·  Payroll Forms – Forms and guidance are available at the following location http://intranet/Staff/pay/Pay/Pages/payroll-forms-claims.aspx

·  Claims and Forms (both hard copy and electronic forms) Deadline – we guarantee to pay all payroll instructions received by this date. Please advise employees in circumstances where this deadline is not complied with.

·  Submitting Pay Information – Best Practice – familiarise yourself with this information available as a download at the following location http://intranet/Staff/pay/Pay/Pages/payroll-forms-claims.aspx

·  Monthly Payroll Deadline (usually 21st of each month) – much detail on forms etc indicate that the 21st of each month is the deadline date for receipt of claims and forms. If the 21st is not a working day then the last available working day is the deadline date and the schedule to the left provides the actual deadline date for each month throughout the 2015/2016 financial year.

·  Deadline date – Please note that this is the last date by which payroll instructions can be received but we are more than happy to receive payroll instructions prior to this date for any payroll period.

·  Christmas 2015 & New Year 2016 – Deadline dates have been amended to take account of reduced processing time due to Council closures of all non-essential services.

·  Employees Leaving the Council – Please submit leavers’ forms for employees leaving the Council as soon as you become aware rather than waiting until the employee has left, as this prevents overpayments and the need to resort to the Overpayment Recovery Procedure, available at the following location http://intranet/Staff/pay/Pay/Pages/Overpayment.aspx .

·  Contractual Changes – Please submit instructions to change any contractual terms and conditions as soon as you become aware rather than waiting for the deadline or after the event as this reduces the potential for overpayments

·  Employees submitting claims to managers should do so in plenty of time to allow managers to authorise and forward to HR by the deadline.

ePiP or Self Service claims

·  Should be used instead of hard copy or other electronic forms where possible as it reduces processing time

·  Must be authorised by the manager by the mPiP deadline in order to be paid in that month’s payroll

·  Employees should therefore submit any claims in plenty of time to allow managers to authorise them before the deadline.

·  It is good practice for employees to submit their ePiP claims by the 25 of the month

·  Once the deadline is reached Managers will be unable to authorise the claims on PiP until the next payroll opens
