Job Description: NAMI Maryland Communications and Outreach & Fundraising Events Coordinator

Reports to: Executive Director

Major Areas of Responsibility
Primary responsibilities include coordinating external communication and marketing materials, managing website content, coordinating fund development campaigns and outreach events, and assisting with communications, fundraising and event administrative logistics, including our Annual Education Conference, Annual Meeting, Advocacy Day, NAMIWalk and other initiatives.

Communications and Marketing

●  Foster public relations of all types

●  Design and proof communication materials for key stakeholders, e.g. donors, advocacy and outreach community partners, decision makers in related fields and agencies, board and committee members, program participants, local affiliates, members and other stakeholders.

●  Manage the publication of organization’s newsletters (print and electronic) including creating the layout and design, soliciting and writing content, and coordinating its distribution via bulk mailing (print or electronic).

●  Coordinate Communications calendar, including the scheduling of webinars and conference calls

●  Design marketing materials and brochures to promote our organization and programs

●  With the Executive Director, oversee the design and development of our Annual Report

●  Coordinate and maintain organization’s social media networking presence and initiatives (E.g., Facebook, Twitter, You Tube, Crowdrise, Constant Contact, etc.)

●  Maintain and update organizational website(s) (E.g., NAMI Maryland, NAMI Maryland Annual Conference and NAMI Walks website)

●  Provide support to NAMI Maryland and affiliates

●  Partner with other staff and volunteers in developing and implementing communications, marketing and/or fundraising trainings and engagements


Fundraising

●  Manage the sponsorship, partnership, donor and other relevant portions of the constituent management database and NAMIWalks website and produce reports

●  Create acknowledgements and other recognition for donation gifts of varying sorts

●  Coordinate direct mail campaigns to individual donors

●  Edit and proof grant proposals related to events, foundation reports and letters to key stakeholders

●  Work with the Executive Director and the Board of Directors

●  Plan fundraising events and projects

●  Work with Office Manager in applying to Combined Charity Campaigns every year

●  Create and manage funding partnership and sponsorship programs and timelines

●  Utilize multiple resources in order to continually source, research and develop new fundraising opportunities

●  Solicit and maintain event and program sponsorships in partnership with the Executive Director, Board, affiliates and committees

●  Establish goals/benchmarks for increasing sponsorship

●  Become familiar with the operational specifics of the Walk and other events as well as other development and outreach activities

●  Compile and update Operations Manuals for all recurring events and development activities.

●  Participate in outreach and fundraising training for new Board members, committee chairs, staff and affiliate leadership

Events

Annual Conference

·  Coordinates and oversees event operations and internal administrative functions

·  Utilize multiple resources in order to continually source, research and develop new fundraising opportunities

·  Solicit event and program sponsorships in partnership with the Executive Director, Board, affiliates and committees

·  Compile and update Operations Manuals for Conference and related events

·  Organize venue, insurance, permits and other needs

·  Other duties as assigned

Annual Meeting and Advocacy Day Events

·  Coordinates and oversees event operations, internal administrative functions and solicitation of in-kind donations, in partnership with other staff, Board, committee members and other volunteers

·  Compile and update Operations Manuals for both events

·  Organize venue and other needs

·  Other duties as assigned

Outreach and Community Education Events

·  Coordinates and oversees resourcing and tracking of displays at fairs and festivals, speeches and presentations, and community and web-based education events

·  Coordinates internal administrative functions

·  Compile and update tracking systems and toolkits for outreach and community education events

·  Other duties as assigned

NAMI Walks

Oversee the coordination of all aspects of the implementation of the NAMI Maryland NAMIWalks program, in partnership with NAMI Maryland management and NAMI Maryland and affiliate leadership, including:

§  Recruiting NAMI Md NAMIWalks chairpersons, business team & family team chairpersons

§  Recruit and develop volunteer Team Captains for NAMIWalks from NAMI members and natural allies, as well as from the local business community

§  Organizing and managing volunteer planning committee

§  Coordinating all planning committee meetings and activities

§  Coordinating recruitment & training of team captains

§  Coordinating ordering and/or local printing of all NAMIWalks materials

§  Coordinate recruitment of cash sponsors and in-kind sponsors

§  Develop timeline of activities for the NAMI Md NAMIWalks based on recommended timeline provided by national office)

§  Coordinate Kick-Off Luncheon for team captains and other supporters

§  Coordinate all mailings to potential and confirmed NAMIWalks supporters and team captains prior to the NAMIWalks

§  Organize public relations relating to the NAMIWalks

§  Help team captains build family, organization, service provider and business-based NAMIWalks teams

§  Assist in maintaining complete records relating to the NAMIWalks, including teams and walkers

§  Produce regular pre-NAMIWalks progress report emails to team captains and walkers between the Kick-Off Luncheon and the end of the NAMIWalks

§  Coordinate all NAMIWalks day activities

§  Coordinate post NAMIWalks volunteer recognition program at Annual Meeting

§  Complete a comprehensive post-NAMIWalks income/expense report as required after the NAMIWalks in conjunction with the NAMI Maryland Accountant

§  All other NAMIWalks related duties that may be assigned

Other

·  Work collaboratively with NAMI Maryland volunteers and other staff

·  Attend staff meetings

●  Provide support to affiliates by assisting with training of local affiliate leaders on development and outreach

●  Comply with Federal and State reporting requirements

●  Assist Board of Directors on corporate compliance

EXPERIENCE AND QUALIFICATION REQUIREMENTS

·  Bachelor’s degree (Marketing, Business, Communications, Nonprofit Development, or related field is preferred but not required)

·  A minimum of two years experience in non-profit, fundraising or equivalent to include interacting with a volunteer board in an administrative and fundraising capacity


Knowledge, Skills and Abilities

·  Excellent organizational, planning, and prioritization skills

·  Ability to influence and persuade to achieve desired outcomes

·  Strong facilitation and presentation skills

·  Excellent oral and written communication skills.

·  Experience with budgeting processes

·  Knowledge and experience with database programs.

·  Knowledge of desktop publishing software
Knowledge of website design and management

·  Knowledge of social marketing tools (e.g., Facebook, Twitter, You Tube, Website management, email blasts, etc.)

·  Interpersonal communication skills in combination with experience with volunteers, committees and community leaders.

·  Ability to work independently and on a team, but with a high regard for accountability and outcomes.
