Viewing Imaged Documents

Overview

Based on your access, you can easily access scanned/digital images of documents through a button found on certain SIS pages.

Accessing Imaged Documents

To access imaged documents, follow the steps below:

Step / Action
1.  / Log In To SIS.
2.  / Navigate to a SIS page that contains the [Imaging] button.
Tip: Some SIS pages that have the Imaging button (based on your security):
>Campus Community >Personal Information >Add/Update a Person |Biographical|
>Campus Community >Personal Information >Identification >Residency Data
>Records and Enrollment >Student Academic Information >Student Program/Plan
>Records and Enrollment >Student Academic Information >Term Search
>Student Admissions >Application Maintenance >Maintain Applications
3.  / Search for the desired student.
4.  / On the SIS page, select the button found in upper right corner of page.
Note: If you have access, the [Imaging] button appears on the SIS
page whether or not the ‘student’ has imaged documents.
5.  / Log in to imaging with your NetID and Password.
Result: If available, imaged documents for that student display.
6.  / Open/select the document you want to view.
7.  / View, Navigate, and/or Annotate as needed.
Tip: If visible, use scrollbars to view more of page and/or document properties.
8.  / When done viewing that document or navigating between that student’s documents, select Back .
9.  / If you are done with that student’s list of documents and you are going to view a different student’s documents, close that student’s window.
10.  / When you are done viewing documents, select Profile and select Disconnect .

Utilizing the Documents List

The list displays imaged documents associated with the student you are viewing in SIS.
The column order may change based on the type of documents being viewed. You can temporarily customize your list to change the sort order and column order and width.

To open a document, select any item in the document row.

Modifying Documents List View Options Temporarily

Column Heading Order

To change the order of the documents list column headings, follow the steps below:

Step / Action
1.  / Select the heading you want to move.
2.  / Drag the heading to the new location and release.
Column Width

To change the width of a column, follow the steps below:

Step / Action
1.  / Point to the right margin of the heading until you see a narrow blue bar and a double pointed arrow.
2.  / Double click on narrow blue bar for best fit.
-OR-
Click and drag to desired column width then release.
Row Sort Order

To change the sort order of the rows, follow the steps below:

Step / Action
1.  / Select heading you want to sort by.
2.  / Select heading again to sort the opposite way: ascending ▲or descending▼.

Viewing a Document

Opening a Document

To view an actual imaged document, follow the steps below:

Step / Action
1.  / Access Imaging to view student’s imaged documents.
2.  / Select desired document to view content.

Navigating within an Open Document

Once you are viewing an imaged document, use the Navigate toolbar to move between pages.

Select desired button to navigate.

Note: Button availability is based on the number of pages within a document.

Buttons found on the Navigate toolbar:

Button / Action / Description /
/ Previous Page / Displays previous page of current document.
/ Select Page / Displays current document’s page number.
Type desired page number to view and press [Enter].
/ Next Page / Displays next page of current document.

Displaying and Using Thumbnails

An additional navigation and viewing option allows you to view Thumbnails of all the pages in a document; thereby allowing you to easily see how many pages are within each document.

·  Select Show or Hide Thumbnails

·  To switch to a different page, select
desired thumbnail page image.

Reordering Pages Using Thumbnails

If you need to reorder the document’s pages, you can change and save it as follows:

Step / Action
1.  / Select page you want to move.
2.  / Drag to new location indicated by blue vertical bar.
3.  / Release mouse.
4.  / Select Save .

Viewing Options

Once you are viewing an imaged document, the View toolbar is used to change the orientation and magnification of the document. Select desired button to change view.

The table below describes the buttons found on the View toolbar:

Button / Action / Description /
/ Zoom Out / Decreases magnification of displayed page.
/ Zoom Slider / Drag slider right or left to change magnification.
/ Zoom In / Increases magnification of displayed page.
/ Best Fit / Resizes displayed page to optimal fit within window.
/ Fit to Width / Resizes displayed page to fit window width.
/ Fit to Height / Resizes displayed page to fit window height.
/ 100% Original Size / Resizes to original size, 100%.
/ Rotate 90° Left / Rotates displayed page counter clockwise/left 90°.
/ Rotate 90° Right / Rotates displayed page clockwise/right 90°.

Tips: To move an image around:
Use scroll bars or scroll wheel on mouse
Click and drag on image

Enlarging an Area of an Image

You can quickly zoom in on a particular area of an image. To do so, follow the steps below:

Step / Action
1.  / Hold down Ctrl key.
2.  / Click and drag a square around the area you want to zoom in on.
3.  / Release the mouse.
Result: The area selected will enlarge.
Saving a Rotation View

If an image is saved in the wrong orientation, you can save it correctly as follows:

Step / Action
1.  / Rotate the document until it is in a readable orientation.
2.  / Select Save .

Document Viewer Toolbar

Once a document is opened in the the viewer, the following toolbar buttons become available:

The table below describes the buttons found on the documents toolbar:

Button / Action* / Description /
/ Back / Return to documents list.
/ Save / Save changes to document.
/ Delete* / Delete selected page from document.
Note: Looks available; however you cannot delete.
/ Annotate / Add or Hide/Show annotation to document.
/ Insert / UW- Madison does not use.
/ Print / Prints the displayed page.
/ Show or Hide Thumbnails / Turn on or turn off thumbnail images of document pages.
/ Show or Hide Forms* / Turn on or turn off additional selected form type.
/ Show or Hide Properties / Turn on or turn off properties of displayed document.
/ Profile
/ Disconnect using .

Working with Annotations

Annotations allow you to enter comments and marks over imaged documents without affecting the original image. When using annotations, remember that imaged documents can be pulled as public record; therefore, keep personal notes in a separate location.

To add, edit, or delete an annotation on the document displayed, follow the steps below:

Action / Steps
Add / To add an annotation:
a.  Select Annotation.
b.  Select ‘Create Annotation’.
c.  Select area where you want annotation.
d.  Select the Annotation Type you want.
e.  Select desired Annotation Template.
f.  Select [Add].
g.  Select Save .
Note: A Sticky Note must be opened to see its contents; use scrollbar.
Only new text can be added; saved text cannot be edited.
Edit / To edit an annotation:
a.  Select annotated object you wish to edit.
b.  Select Edit .
c.  View or change option(s).
d.  Select [OK].
e.  Select Save .
Move
Resize / To move or resize an annotation:
a.  Select annotated object you wish to move/size.
b.  To move: click in middle of object and drag to desired location.
To resize: click and drag a blue square corner or blue bar on top/bottom or side.
c.  Select Save .
Delete / To delete an annotation:
a.  Select annotated object.
b.  Select Delete or press [delete] key.
c.  Select Save .
Hide / To Hide all Annotations Temporarily while viewing document:
a.  Select Annotation.
b.  Select ‘Hide Annotation’.
Show / To Display all hidden Annotations:
a.  Select Annotation.
b.  Select ‘Show Annotation’.

Accessing Imaged Documents

After selecting the button on a SIS page, you will log in using your NetID and password. You will then see the documents list (based on your security) for this student:
