PALS BQCC Meeting Minutes

I.  Call to order

The meeting was called to order by Chairperson Becky Wogoman at 10:30 a.m.

II.  Approval of previous meeting minutes

Minutes of the previous meeting of 08/27/2014 were approved.

III.  New / Old business

o  Distribute updated Cataloging Checks.

o  Becky Wogoman handed out revised sheets of correct bibliographic records.

o  Bonnie Potters mentioned that 336, 337, 338 & 340 RDA fields should have no punctuations.

o  Next Polaris Upgrade.

o  An auto process feature would be added for lost/missing items. A time limit can be set to automatic change an item to “Withdrawn”. Lost items can automatically be switched to “Missing”

o  Associated patrons can be linked to another patron’s card. This feature, for example, can be used for a mother to be able to pick up an item for their son &/or daughter.

o  Bonnie Potters brought up the idea of having only 1 delete action instead of the current 2 delete process for a possible future update.

o  LC’s Bibframe.

o  “Bibframe” is the next thing that will replace the MARC format for bibliographic records. It will display a different structure of the current record.

o  A webinar concerning Bibframe will take place on Friday December 12, 2014 from 10am to 11am through SWFLN.

o  Deletion of e-book bibs when metered titles expire.

o  Overdrive e-books and the procedure of Bibliographic records on how they get deleted were discussed. As of now Clearwater Library gets notified when time is close to delete such records as then the record then gets unchecked from displaying in the PAC. Clearwater will post to Wiki further procedures after an upgrade takes place.

o  Selection of 2015 BQCC Chair and Secretary.

o  Chair - Eileen Shannahan (Seminole)

o  Secretary - Nick Spaccarelli (Palm Harbor)

o  Becky brought up the idea that someone had mentioned to her if it was possible to meet only 3 times a year. Phyllis Ruscella liked the idea of continuing to schedule 4 meeting a year with the option to cancel a meeting if there was nothing to discuss.

o  Other Discussions.

o  Bonnie M Potters discussed Access 360, Overdrive & 3M ordering, and that HUPLA would be available soon.

o  Bonnie M Potters mentioned that the author Vince Flynn passed away, and so since the 14th Mitch Rapp thriller has been "postponed indefinitely” all libraries should cancel any On-Order records but first cancel all patron Holds attached to the record.

o  Eileen Shannahan mentioned that Seminole Library is unable to search OCLC numbers in Connexion. If any other library has Connexion to please try to search OCLC numbers and email her at at their convenience.

o  Vicki Frost’s (TBLC) name was brought up as the person to contact about further OCLC questions.

o  Jane Lingle mentioned that “Discovery” will become the new version of First Search sometime in the future around December of 2015. Discussions of possible integration of the online resources might take place. Patrons will still be able initiate their own Inter-Library loans.

IV.  Round table

·  Clearwater –

A new RFID machine is up & running. New security gates are up and working. A possible merge between East Branch and Drew might go into effect. Lego Robotics was a success. Clearwater is also adding HUPLA to their libraries. Food donations eliminate overdue fines for one month. There is weeding at all braches. Becky Wogoman is retiring after 31 years. Clearwater will be looking to hire to fill their Librarian I & II open positions soon.

·  Seminole –

Seminole will be closed day of and the day after Thanksgiving. A volunteer lunch-in was held recently to show appreciation for the service from their 76 volunteers. Youth Service librarian in weeding a lot of the YA books. Since college will be out of session from December 13 through January the library hour will change by opening later and closing earlier.

·  Dunedin –

A lot of weeding in Reference is getting done. Dunedin is freeing up space to make space for adding study rooms.

·  Largo –

Largo has a “Turn the page on Community Reading” program. The author of the book “Learning to Die in Miami” will be visiting. Cuban theme with Cuban food is taking place that library. Largo has a maker space “Idea Lab” for kids opening in December. They also will have 3D printers.

·  Safety Harbor –

Safety harbor Library is weeding fiction. A new area has been created that is all in glass. Shelves were moved to create a separate “Family Collection”. Equipment was purchased to convert peoples home made movies from VHS to DVD video.

·  St. Pete Beach –

Nancy Gibbs who is presently on vacation is in her final year of working after 44 years. Renovation plans are drawn to move the library into the City Hall building that has space of 17,000 square feet. A new city manager was recently hired.

·  Oldsmar –

Oldsmar just recently had a huge book sale. Ongoing weeding is active in the non-fiction section.

·  Tarpon Spring –

Tarpon Spring library is dealing with open positions while staff is taking on doing extra duties. Tom Dorsey will be a speaker at their next Friends meeting. A lot of programs are scheduled for the upcoming months.

·  Palm Harbor –

Palm Harbor library had a “Garage Sale” selling items donated by staff & volunteers that raised money for the library. Palm Harbor had also conducted a fundraiser called “Raise the Roof” where raffle tickets we sold for people to win money & prizes while the library raised money donations to be able to fix their roof in the future. The library will be closed on Friday November 21, 2014 to replace 3 of the 4 air-conditioning/heating units. The library will also be closed on both day of Thanksgiving and the day after Thanksgiving.

·  Gulf Beaches –

Gulf Beaches are in the process weeding and shifting their shelves.

·  East Lake –

East Lake Library is weeding their non-fiction section. Their library will be closed for 3 days – Wed Nov 26 through Fri Nov 28 for Thanksgiving as well to have movers come in and switch their collection areas. East Lake has recently opened their outside reading garden called “Butterflies and Books” where patrons can now enjoy movies, reading, and gardening classes outside.

V.  Next meeting dates:

o  February 25th, 2015 at 10:30am in either the Safety Harbor Public Library OR Largo Public Library (TBA).
