PAINT ISSUANCE PROCEDURE

Interior upkeep and maintenance is an important part of resident satisfaction and sustaining long-term cooperation. Residents and the LMHA have established a resident painting program for responsible residents. In order to safeguard and control cost, property, and supplies, the paint issuance policy and procedure should be followed. The paint issuance can result from the annual HQS inspection or a special request from the resident in occupancy.

1).The resident contacts the Housing Manager about a need for interior painting or, the resident is advised by Management during the HQS inspection that painting is needed. Resident is to be issued painting instructions (Appendix #3) and completes the “Paint Request Form”, LMHA #15 (Appendix #1). Resident should be advised at the time of the request that, if approved, paint will be available in approximately three business days.

2).Within 7 days of the written request and after a pre-paint inspection, the Management office places a request to Director of Property Management/Property Manager/Management Secretary regarding a requisition for paint. The unit number, length of residency, last time painted and determination of the resident’s good standing must also be indicated on the request.

3).If the resident has been housed 2 or more years IN THE SAME UNIT, and the unit has not been painted during occupancy, or the Manager has determined by inspection that painting is needed, a requisition will be made by the Director of Property Management’s office.

4).Upon receipt of the requisition, Purchasing will issue the requested paint directly to the Management site. At the time of paint issuance to the resident, the resident completes the second section of the original “Paint Request Form.” If mildew is a problem in the unit, management will also note it on the request for mildew retardant additives.

5).Management will issue two 1 gallon cans at a time to the resident. Empty cans must be turned in by resident for further paint to be issued

6).The Management office will itemize on their monthly supplies relief work order (Appendix #2) all paint issued to residents for that month. In addition, the address where the paint was issued must be indicated on the supplies relief work order and the number of gallons issued for each unit, and dated. This process will properly adjust the “truck stock plan”.

7).Paint requested by residents who have not resided 2 or more years in a unit, can be issued a charge of $9.95 per gallon. To initiate the charge the Management office will contact Maintenance Dispatch and request a work order to bill the

the resident. At this point the Management office will follow the current existing work order procedure.

8).Site Management should monitor paint distribution to ensure that adequate paint is issued and utilized at the unit. Inspections should follow completion of the painting to check for job completion and neatness. After inspecting the unit, Management will certify the usage and completion on the “Paint Request Form”. The “Paint Request Form” can now be placed into the resident file.

PAINTING INSTRUCTIONS

The following items are to be heeded in preparation of the painting of your unit. This is to avoid any damage to the residence. If paint damage is found, you will be charged.

1.Tape off all baseboards.

2.Cover all surfaces, i.e., carpeting, floors, cupboards, countertops, appliances, etc.

3.Patch all holes in walls. You may use spackling or drywall compound, which can be purchased at any Hardware store. Please make sure the finish of your repair matches the existing wall.

4.Prime walls before painting if required.

5.NO spray painting allowed.

6.Return empty cans to your Management Office. Call ahead and place a work order if more paint is needed to complete your unit.

7.Call the Management Office and schedule an appointment for inspection after completion of painting.
