Official Project Launch

The TIER Information Technology Inventory Task Force held its first meeting on September 15th, 2009, marking the official launch of the IT inventory project.

The focus of the team’s initial discussion was to define a recommended methodology and approach for project.

Recommended Project Methodology

Recognizing that the project’s success is dependent upon new levels of trust, cooperation and transparency across all UCLA IT organizations, the TIER IT Inventory Task Force recommends the following methodology for the planning phase of the project:

·  In association with the Data Center Task Force and the Next Generation Network Group, the IT Inventory Task Force will develop recommended specifications for the data elements to be requested from campus IT units and will include answers to the following questions/concerns:

o  Who will collect the data?

o  Who will be able to view the data?

o  By what authority are we collecting the data?

o  What will be done with the data (why are we collecting it)?

o  By what method will the data be collected?

o  How can the inventory benefit local IT units?

o  How will the data be safeguarded?

·  In parallel to the above data element definition process, one-on-one meetings will be scheduled with campus IT unit CIOs and Directors to discuss the following topics:

o  Review and validation of data collected in previous projects/surveys

o  Availability of existing network, server and data center inventory data maintained by unit

o  Requirements for resources and/or tools to assist in augmenting or updating existing inventory

o  Unit requirements, concerns, expectations regarding providing inventory data

o  Unit recommendations on how the inventory can benefit the unit

·  TIER IT Inventory Task Force will continue to evaluate repository tools and will review recommendations with CCC and CSG

·  Communication plan to present the inventory project to the broader campus community currently being developed. The project will be discussed at the upcoming Campus CSC meeting on November 12th.

·  Task Force will solicit pilot participants.
