Overview:
We are at an exciting time in the life of St John’s, and have seen growth over the past few years. This position is crucial to the next stage of the church’s development.The Operations Manager will be part of the church leadership team and directly responsible to the Rector. Primarily, they will be responsible for the day-to-day management of St John’s church,but with the strategicskills to help the leadership adapt and respond to the needs of a growing church from an operational perspective.We have challenges, including an on-going building project and newly installed technology systems and IT, which we need to maximise and use to their potential. We are looking for someone with practical operational skills and experience to help us move in to a new phase in our church life, as we seek to serve the people of Buckhurst Hill. As this is a new role, priorities may change as systems and structures are put in place, and a review of responsibilities will take place after six months and on an on-going basis thereafter.
Key Responsibilities
1 Technology
- Manage Sunday Service media,which includes adding liturgy to the database and sourcing visual backgrounds.
- Produce notices for display on screen in church and any other visual liturgy needed for projection on screen, using PowerPoint or other software.
- To develop and maintain a working knowledge of the sound desk, lighting, CD player and mixing desk in churchto support their effective use and assist with troubleshooting (these systems are currently managed and run by others, but there is a need to have a basic knowledge and ability to operate them).
- Take responsibility for keeping song-word display software, lighting and audio-visual guides up to date and organise training for this when necessary.
- Maximise the church’s use of social media via website, Facebook page, Twitter etc.
- Consider and recommend ways in which the church can best use existing and new technology in its administration and mission.
2 Management and Administration
- Ensure the church diary is up to date.
- Answer office phones and assist any visitors to the parish centre.
- Manage the church’s email inbox andrespond promptly to emails and other post, consulting with the Rector and others as appropriate.
- Continually update the church website and Facebook page, including the timely uploading of notices and sermons.
- Be the first point of contact for wedding, baptism and funeral bookings and manage the associated paperwork.
- Coordinate the production of the service rotas and notices, liaising with service and worship leadersand other church members.
- Type minutes, letters and other documents as requiredand copy and distribute documents e.g. Parochial Church Council (PCC)papers.
- Manage the annual updating and production of the St John’s Prayer Directory.
- Design and produce service sheets for special services e.g. funerals.
- Design, produce, print and distribute any invitations, posters, advertisements, tickets or fliers that are needed for Church events e.g. Christmas services.
- Provideadministrative support to the Rector, other clergy and churchwardens when needed e.g. assistance with holiday club administration.
3 Site Development
- Work with otherstomaximise the operational use of church sites, to include advertising where necessary, liaison with St John’s school and being involved in any planned development for St John’sand its associated sites.
- Provide cover for the other team member’s annual leave,taking site bookings or arranging repairs where necessary.
- Help to co-ordinate the running of events and servicese.g. organising microphone set-up and seating layout, andliaison re catering.
- Recruit and train volunteers to assist with verger roles, and where necessary, carry out verger work at Sunday services, funerals, and weddings.
- Work with the churchwardensto ensure the effective implementation of health and safety procedures.
- Maintain aset ofchurch policies e.g. Child Protection, Health and Safetyand review and update as required.
- In conjunction with the church’s Disclosure and Barring Service (DBS) policy group, oversee the correct implementation of PCC’s Child Protection and Vulnerable Adultspolicy, and manage the DBS clearance procedure for new volunteers.
4 General
- As a key member of the leadership team, attend and contribute toMinistry Team Meetings and PCC meetings, actively supporting and promoting the church’s mission and ministry.
- Continually look for opportunities to enhance the communication between the leadership team, the wider church family and the people of Buckhurst Hill.
- Undertake any other reasonable tasks as required.

Skills and experience
- Strong written and verbal communication skills.
- An experienced decision-maker, with the confidence to use initiative and the judgement to know when to consult others.
- Good problem-solving skills to identify issues and offer and implement solutions.
- Highly organised, with the ability to manage pressure and meet deadlines.
- Experience of setting up and maintaining effective office records and procedures.
- Proficient user of IT including MS Office software(Word, Publisher, PowerPoint, Excel), social media and the Internet.
- Technical skills and vision to support and developthe church’s use of technology in fulfilling its mission.
Personal qualities and Christian character
- A practicing Christian whose beliefs and lifestyle are consistent with the teaching and ethos of St John’s, an evangelical Anglican church.
- An effective self-starter with a can-do attitude and evidence of constant up-skilling.
- A person of honesty and integrity, trusted with confidential and sensitive matters.
- Able to build effective and positive relationships with the wider community, including St John’s School.
- Strong team player, able to work well with the rest of the team and with volunteers and church members.
- Pleasant and welcoming manner, able to relate well to the wide range of callers and visitors to church premises.
- Able to work occasional evenings and weekends.
Desirable
- Experience in one or more of the following areas: financial and budgetary management; setting up or operating sound systems; buildings management including health and safety;leaflet design using Publisher.
- Willingness to be a regular worshipper at St John’s.
An Occupational Requirement exists for the post-holder to be a practicing Christian in accordance with the Equality Act 2010.
Outline Terms and Conditions
Employer: The employer is the Parochial Church Council (PCC) of St John’s Church, Buckhurst Hill.
Salary: £23-26k (pro rata)dependent on experience.
Hours of work: This post is available for 30-36 hours. The working pattern is open to some flexibility e.g. to work around caring responsibilities and will be agreed with the successful candidate. Occasional evening and weekend work will be required for which time off in lieu will be given.
Probation: The appointment is subject to the satisfactory completion of a 6 month probation period.
Notice periods: One week during the probation period. After that, if you want to resign, a minimum ofonemonth’s notice is required in writing. Should the PCC decide to terminate the employment, it will give one week’s notice per complete year of service, with a minimum of 4 weeks and a maximum of 12 weeks.
Holiday entitlement:4 weeks annual leave per yearplus bank holidays (pro rata).
Pension:The PCC does not currently operate a pension scheme.
Sick pay:Statutory sick pay arrangements apply.
The appointment will be subject to obtaining a successful Enhanced Disclosure fromthe Disclosure and Barring Service.
