ROLE DESCRIPTION

POST:Oasis Community Servicesand Volunteering Intern

RESPONSIBLE TO:Volunteer Development Manager

TERMS:4 month internship, 24 – 40 hours per week with flexibility around working hours

EXPENSES:Travel to value of £15 and lunch to value of £5

JOB PURPOSE:Working within the Community Services Support Team to specifically support the Volunteer Development Manager to assist in the support of volunteering across the Oasis Hubsand of the threesixty volunteering programmeas well as wider support of the Community Services team.

Volunteering Support

Strategy/Planning/Organising

To undertake the following areas of responsibility:

  • To work with the UK Volunteer manager in overseeing and participating in high quality orientation and training programmes for all volunteering participants and to ensure the delivery of appropriate training, pastoral support, personal development and leadership for team participants.
  • To work with the UK volunteering manager to ensure that appropriate preparation is made for the receiving of volunteers within each UK Oasis hub.
  • To co-ordinate the pastoral support of threesixty’s across Oasis Hubs.
  • To assist in the planning and running of residentials and de-brief programmes for students and helping to plan programme content. The opportunity to act as a facilitator at a residential/ debrief.
  • Take responsibility for the practical arrangements regarding threesixty residentials, commissioning and graduations, in liaison with other Oasis staff.
  • Utilising the database for marketing purposes
  • Support the development of accreditation for volunteers across Oasis
Analytical/Creativethinking/Problem Solving
  • To ensure regular contact is maintained with hub volunteering co ordinators so that adequate preparation is made for receiving and supervising teams and responding promptly to any problems that arise or issues that need to be developed.
  • To maintain the system of keeping records, statistics and written reports and to assist in the monitoring and evaluating of the project.

Relationships/Partners:

  • In co-operation with Income Generation, ensure the Raiser's Edge database is kept up to date.
  • Keep updated with funding opportunities and be part of putting funding bids together where appropriate

Data/Information Management

  • To provide administrative support for the Volunteering Manager with particular regard to enquiries, meeting preparationand production of briefing papers.
  • Maintaining and filing records for the Volunteering Manager (for example, invoices, expenses, annual leave etc.)

Transport and Accommodation

  • Arranging transport and accommodationfor the Volunteering Manager and other members of the Community Services Support Team.

Diary Management

  • Book one to one meetings for the Volunteering Manager.

Community Services Support and Hub Leaders Team Meetings

  • To book team meetings
  • Booking rooms
  • Setting up the meeting space (including refreshments, equipment etc.)
  • Preparing copies of paperwork
  • Minute taking

Other duties

  • Provide research support as necessary
  • To undertake work to support the production of printed materials
  • To carry out other duties as may reasonably be required by the VolunteeringManager and Community Services Executive Director
  • An opportunity to be involved in other areas of Community Services Support if appropriate
  • The duties of this post may vary from time to time without changing the general character of the post or level of responsibility entailed.

Essential / Desirable
Qualifications / Educated to Degree level (or equivalent work experience in this type of role)
Some administration experience
Experience, Skills and knowledge / Experience of volunteering
A good working knowledge of Microsoft Word, Outlook and Execl.
Good oral and written communication skills
Good organisational skills
Ability to work under pressure and respond to deadlines
High attention to detail
Excellent inter-personal skills
Ability to communicate effectively with a wide range of individuals/colleagues/contacts
Personal Qualities / Self-motivated, with a ‘can-do’ approach to problem solving
