Donegal Township/West Alexander Community Center Rental Policy
PLEASE READ CAREFULLY
1. Organizations/individuals executing this application shall be responsible for the condition of the building, building contents, and grounds. Damages to the facility during time of rental shall be paid for by the organization/individual making application and using the facility.
2. Any organization or group using the facility shall designate one member of the group as being in charge and responsible for the use of the facility. This person shall in turn be responsible to the Board. Any problems/damages should be immediately reported to a Board Member.
3. The Board reserves the right to attend and inspect all activities held on Donegal Township/West Alexander Community Center property.
4. The Board reserves the right to require any group to purchase liability insurance.
5. The Board reserves the right to require the group to secure police/constable protection at the time of renting the facility.
6. The responsible party shall not leave the premises until all members and guests have left and a Donegal Township/West Alexander Community Center Board Member has inspected and secured the facility.
7. The Board reserves the right to revoke or deny permission for use of the facility.
8. The use of the Donegal Township/West Alexander Community Center Facility must conform to
the State of Pennsylvania Fire and Safety regulations.
9. Please note the condition of the gym upon arrival. If something is wrong (not cleaned, floors scuffed up, excessive garbage, balls, tables & chairs not put away, any damages, etc), please call 304-281-5581 and report it before you use the gym.
If any damages occur to the facility, you will be held responsible for all repairs.
Entering and Exiting the Building:
The week of your event, you will be given a key to the facility. It will be your responsibility to open and lock the building. If the key is lost or not returned, you will forfeit you deposit.
CLEAN UP OF FACILITY:
It is the responsibility of the designated person for the organization/group to see that the facility is
completely clean and ready for use the next day. The floor must be swept, any spills cleaned up, the trash
taken out, bathrooms checked for running water and all tables and chairs that were used must be wiped
and returned to the stage.
If smoking has taken place outside the facility, all cigarette butts must be picked up and put in the butt holder.
All lights (gym and bathrooms) must be shut off and the door must be locked; and the key placed in drop
box before exiting the building.
USE OF BUILDING AND EQUIPMENT:
1. It shall be the responsibility of the designated person for the organization/group to see that unauthorized portions of the building are not damaged and that the premises are vacated as scheduled. Organization/group members, guests, employees, and others associated with the organization/group must confine themselves to the room(s) and corridors assigned to their use.
2. The use of property being rented shall be under the supervision and control of the Board.
3. In the case of ticket sales, there shall be no tickets sold for an event beyond the capacity (300 people) of the facility being rented.
4. The organization/group using the facility IS NOT PERMITTED TO SELL any items in the facility without specific approval. This refers to ice cream, candy, soda pop, baked goods, etc.

RENTAL FEES
ALL EVENTS:
A clean up deposit of $25-$150 (depending on the event) is due at the time of the
reservation to hold the date. This deposit will be refunded based on an
inspection of the facility, after the event.
Time availability for the facility may vary through the week; most likely the facility will not be available until 6:00PM on weekdays.
Cancellations: To cancel an event, we require a 24 hour notice. If you do not call, you will forfeit your deposit.
For any event that we require a constable’s presence; the applicant is responsible for securing and paying the constable’s fees.
SINGLE EVENT:
Depending on the event, the charge is $25-$100 per hour. This must be paid in full before the day of the event.
SPORTING EVENT:
There is a charge of $20 per hour to be paid in full before the day of the event in addition to the deposit.
SET UP & CLEAN UP:
You are permitted to set up at least 1 hour before your event at no charge. If you need more time, arrangements may be made at an additional charge. You must be cleaned up and out of the facility within 1 hour after the event is over at no charge. If your event runs late, you will be charged accordingly.
PA SYSTEM:
We now have a PA system available for rent at a charge of $5-$20 depending on the event.
RULES FOR THE GYMNASIUM
ALL OTHER AREAS OF THE BUILDING ARE OFF LIMITS, EXCEPT THE BATHROOMS.
PLEASE KEEP ALL SMALL CHILDREN OFF THE STAGE.
PUT ALL BALLS AWAY.
PUT ALL TRASH IN TRASH CANS.
CLEAN UP ANY SPILLS.
PUT ALL TABLES AND CHAIRS AWAY AFTER WIPING THEM OFF.
DUST THE FLOORS WITH THE DUST MOP AND PUT THE DIRT IN THE TRASH CAN. DO NOT WET THE DUST MOP!
TURN OFF ALL LIGHTS IN THE GYM AND BOTH BATHROOMS.
CHECK THAT THERE IS NO WATER RUNNING IN THE SINKS OR TOILETS.
MAKE SURE ALL EXTERIOR DOORS ARE TIGHTLY CLOSED.
PLEASE LEAVE THE GYM IN THE GOOD CONDITION THAT YOU FOUND IT, IF NOT BETTER.
