Joining a WebEx Meeting

Using a Computer or Laptop

When you click the WebEx meeting link, it will open a webpage with the meeting information.

Once the meeting start time is less than 15 minutes away, you will be asked to enter your name and email address, then be able to click the Join button to open the WebEx application.

Connecting Audio and Video

When the WebEx application opens, if the host has already connected, you will be prompted to select your audio and video devices. Unless otherwise instructed, choose “Call Using Computer” for audio.

Click “Connect Audio and Video” to finish joining the meeting.

If the host has not yet joined, you will be notified with a pop-up window.

  • Once the host connects, you will be prompted to select your audio settings. Unless otherwise instructed, choose “Call Using Computer” for audio.
  • To start sharing your video, click on the camera icon by your name in the upper right, under “Participants.”


Audio & Video Settings

If you need to change audio settings, such as choosing a different microphone or adjusting volume, click the “More Options” button under the audio icon, then click on “Change settings.”

If you have multiple cameras connected to your computer, you can change which one is used by clicking on the gear icon above the video, next to “Participants.”

To make the video full screen, mouse over the video window and press the Expand button in the upper right. On this screen, you can press an additional Expand button in the upper right of the video to make it even larger.

When the video is in either full screen mode, hover your mouse at the top of the screen to bring down additional controls. There are options to adjust your audio settings and mute/unmute your microphone here, as well as exit full screen video via the “Return” button. You can also exit Full Screen mode by pressing the Esc key.

You can also minimize your self-view at any time by hovering your mouse over it and then pressing the Collapse arrow in the upper left. When minimized, you can re-open the self-view by clicking on the Expand arrow in the bottom right corner of the video.

Sharing Content

To share content, such as a PowerPoint presentation or PDF, you will use the “Share Screen” function on the Quick Start tab.


You can either just click the circle with the up arrow to begin sharing (if you have multiple screens connected, you will be prompted to select which one you want to share), or you can click on “More Options” to select a specific application that you have open to share.

To stop sharing, hover the mouse at the top of your screen to bring down a tab with additional controls, and select “Stop Sharing.”

When you click on the WebEx meeting link, you should be prompted to open the meeting with the WebEx app. If you attempt to join earlier than 15 minutes prior to the meeting start time, you will be directed to a webpage with the meeting information and how much time remains before the meeting begins. In this case, you will need to click the link again closer to the start of the meeting.

Once you are connected via the WebEx app, you will need to choose your audio option. Select “Call Over Internet,” unless otherwise instructed.

You will be promptedto allow WebEx to access your microphone if you have not already done so.

To mute and unmute your audio, tap the microphone icon.

To connect your video, press the camera icon. You will be prompted to allow WebEx to access your camera if you have not already done so. You will then see a preview of your video - press “Start My Video” to start sharing your video in the meeting.

You may stop sharing your video by pressing the camera icon again and selecting “Stop My Video.”

Once you have connected audio and video and the host is connected, you can make the video full screen by double tapping on it or turning your device sideways.

To leave the meeting, press the red X icon and select “Leave Meeting.”
