ADJUNCT, FACULTY OVERLOAD ASSIGNMENTS

& FACULTY REASSIGNMENT

QUICK REFERENCE:

When updating SIAASGN to assign courses to adjunct faculty and T&R faculty teaching overloads, a two digit POSITION NUMBER SUFFIX CODE must be entered to denote the term in which the faculty member is teaching.

The following SUFFIX CODES must be used for Academic Year 2016-2017:

• EA = Augustmester2016 (201605)

• EF = Fall 2016 (Term 201610)

• EW = Wintermester2016-17 (Term 201615)

• ES = Spring 2017 (Term 201620)

• EM = Maymester 2017 (Term 201630)

• E1 = Summer I 2017 (Term 201632)

• E2 = Summer II 2017 (Term 201638)

• E3 = Summer III 2017 (Term 201636)

The following Contract Type Codes must be used:

• FP for Full-Time T&R and AP Faculty assigned Overloads with compensation.

• PT for Part-time Adjunct Faculty assigned courses

Fall Adjunct Assignment Deadlines:

  1. All instructor assignments must be entered in SIAASGN by Thursday, August 4, 2016 at 5:00 p.m. This will allow the Provost Office to run its process and extract data to SSB-FLAC. Departments must check FLAC assignments and compensation amounts and notify the Dean when all reviews and revisions are complete.
  2. The Deans’ offices must review and lock assignments no later than Thursday, August 11, 2016 at 5:00 p.m.
  3. Adjunct and Overload instructors must review and acknowledge contracts by Friday, August 26, 2016 in order for payroll reports to be processed.
  4. Classes Begin – Monday, August 29, 2016.
  5. Census Date – Monday, September 12, 2016.

Spring Adjunct Assignment Deadlines:

  1. All instructor assignments must be entered in SIAASGN by Monday, December 12, 2016 at 5:00 p.m. This will allow the Provost Office to run its process and extract data to SSB-FLAC on December 13, 2016. Departments must check FLAC assignments and compensation amounts and notify the Dean when all reviews and revisions are complete.
  2. The Deans’ offices must review and lock assignments no later than Monday, January 2, 2017 at 5:00 p.m.
  3. Adjunct and Overload instructors must review and acknowledge contracts by Friday, January 13, 2017 in order for payroll reports to be processed.
  4. Classes Begin – Tuesday, January 17, 2017.
  5. Census Date – Monday, September 12, 2016.

  • Please note: These numbers are to be used for all instructors (full-time overloads and adjuncts) who are to be compensated through FLAC.SIAASGN records without the position number, contract type and suffix codes will not be processed for payroll compensation.

REMINDER:

If you need create and advertise new adjunct positions, please use PeopleAdmin to create a new position description and copy an established/existing position description. If you need assistance in creating new positions, please contact Ms. Kimberly Sifford ().

If you have adjuncts who are coming up for reappointment, please submit a modification to the existing position description in PeopleAdmin and indicate that you wish to make a reappointment for an additional 3-years. Modifications should be submitted in a timely manner in order to have letters processed and to get authorization from HR to make assignments in SIAASGN. If you are not sure if you have adjuncts that are coming up for reappointment, please email Kimberly Sifford for an updated listing of your department’s active adjuncts and their appointment terms.

If you have adjuncts who will not be reappointed, please submit a PR4 with the intended ending date. Separations for adjuncts must be submitted on PR4s (not EPAFs).

If an adjunct’s 3-year appointment is pending final approval from Human Resources, you will not be allowed to assign them to teach until all approvals are complete and you have been notified.

Individuals without a current position numbers and active appointment contracts are NOT AUTHORIZED to have access to the classrooms or students as instructors. All instructors must be entered into SIAASGN.

All those who are to receive overload or adjunct compensation must be extracted and processed through the Faculty Load and Compensation (FLAC) module in SSB. Adjuncts must acknowledge their assignments before they are authorized to have access to classroom.

If individuals are found to have been given access to classrooms without the proper authorization process established, the department and college dean will be contacted and the necessary corrective action will be taken.
