SECRETARY’S REPORT
The meeting minutes from August were reviewed and approved by those in attendance.
TREAURER’S REPORT
Kevin Williams, Treasurer was present.
At the August meeting, Kevin advised of an IRS notice an extension that was filed but not received by the IRS which resulted in fees of $2,900. Kevin stated that there is no update yet on the IRS notice. Kevin has drafted and issued a letter to the IRS in response to this matter.
Kevin has not received notice or paid the MYSA annual fee. Dow will forwardall emails, with regard to the MYSA Annual fee for 2017.
REGISTRAR REPORT
U10 Girls not accepting any more registrations.
COASTAL YOUTH SOCCER LEAGUE UPDATE
Effectively immediately, Jeff Craig has volunteered to be the new PYS representative for the CYSL (replacing Tom Hogan) and will attend the monthly meetings (held in Marshfield). Dawn McAulliffe to forward Jeff's contact information to CYSL.
- CYSL CLARIFICATION - Player sharing WILL be allowed in the fall but all kids playing MUST be rostered on a PYS team and rosters for ALL players must be provided.
- CYSL has asked that we ensure our scores are entered from the fall season for the purpose of team placement for the spring season.
- Preliminary rosters for Spring 2018 should be sent to CYSL in November 2017
- CYSL has implemented breakout lines for U10. PYS fields are not currently lined/painted with breakout lines. In order to remain in compliance, these lines must be painted for the spring 2018 season.
- All coaches must have lanyards. The policy will be strictly enforced by CYSL in the spring season.
REFEREE COORDINATOR UPDATE
No updates at this time.
COACHING EDUCATION
Little Kickers
FC Boston Scorpions is providing 2 coaches for the Little Kickers program at a total cost of $1800 for fall and spring.

Coordinators for each age group should send link to coaches for the MYSA Coaching Plans
Focus over Winter
Player development - winter sessions to be provided
Coaching Development - Hope to have MYSA provided a Coach's Development session in February (before spring season kicks off)
NEW BUSINESS
Snack Shack Update
- Marco Goncalves proposed the purchase a new slush machine for a total cost of $2850 - 4 machines with 4 different flavors. Marco has calculated that the machine will pay for itself in one season and that the supplies for the machine are 1/3 the current cost for the slush buckets. The members present voted on this matter and agreed to purchase the slush machine for $2850. Concerns were raised with regard to:
- Cleaning the machine. The machine MUST be cleaned after each use. Marco will ensure that proper training to snack shack associates will be provided.
- Maintaining the machine. The machine will be maintained by a local company called ICEE.
- Proper use of the machine. If the machine is turned off during mid use (or if the electrical service is intermittent), the ice will melt and the machine will overflow. Mark Baldwin will ensure that the contractor who performed the upgrade (last year) will ensure that the machine has proper electrical service.
- Marco is researching the cost to upgrade the frialator. Note: A commercial fryalator is not an option due to ventilation requirements.
- Marco is training the snack shack team to empty all trash bins on a weekly basis.
- Signage the snack shack and fields is due in this week. (dogs, fields and snack shack),
Family Day
Marco Goncalves suggesteds that we re-establish family day for PYS where we play some games and show a movie.
Parking Lot Striping
Mark Baldwin submitted a quote for $1200 to have the lines painted in the parking lot and was quoted an additional couple hundred bucks to do learning lane. Mark will request an updated quote that includes Learning Lane, the crosswalk and fire lane and anticipates the cost to be approximately $1500-$1600. The members present voted on this matter and agreed to re-stripe the parking lot at the anticipated $1500-$1600 cost. Mark will confirm the anticipated cost but needs a date/time to perform the work. Dawn McAuliffe will contact the school to determine an appropriate date/time and advise Mark.
Fences at Field
Dawn is getting a quote to repair the fences at the field.
Ball boys/Ball Girls
Should arrive 15 minutes before games
Ball Boys/Girls for the Boy's games should report to Coach Adam Scott
Ball Boys/Girls for the Girl's games should report to Travis Dupres
6 Ball Boys/Girls are need per game
