Overall Purpose of Post
As Heritage Engagement Assistant, you’ll be part of a dynamic team responsible for ensuring that our HLF funded Project Pilgrim delivers its once in a generation potential to improve the Cathedral’svisitor experience, community engagement and audience development.
This is a varied role, which could provide an exceptional first step into a heritage career or an interested and varied role for someone with existing experience in this field. The nature of the role means that emphasis on the different areas of responsibility will shift according to project needs whilst remaining fast-paced and immersive.
Gloucester Cathedral is a major tourist destination and the role will require some Bank Holiday, evening and weekend working, with time off in lieu

Responsibilities and Accountabilities / Nature and Scope of Role
1 / Administrative Support
To support the Pilgrim Team (Project Manager, Community Engagement Manager & Visitor Experience Manager) to successfully deliver the following Cathedral priorities;
a)develop our operational and physical infrastructure to help shape visitors into pilgrims
b)strengthen our role in the life of the city, county and diocese /
- first point of contact for Project Pilgrim for internal and external enquiries (by phone, correspondence or in person) including dealing with or referring onward as needed
- providing administrative support to the Project Manager when required, including bi-monthly governance support, preparation of agendas and papers and general meeting administration
2 / Events and Activities Programme
To support the Community Engagement Manager in arranging and delivering events and activities programmeto appeal to new audiences /
- providing administrative support to the Community Engagement Manager; where required assisting in collating and recording accurate data, including monitoring events and activities against targets and updating income and expenditure records
- provide monthly Activity Plan Sub Team governance support, preparation of agendas and papers and general meeting administration
- supporting the delivery of events and activities (including the potential to lead on specific elements
- develop small scale funding applications)
3 / Visitor Experience
To support the Visitor Experience Team in delivering an exceptional welcome to improve the experience of tourist visitors and maximise linked income generation potential /
- providing administrative support to the Visitor Experience Manager when required, including con-ordination and administration of Volunteer Training and Cathedral Tours
- be part of the team rota for twice daily briefings for volunteers and staff
- providing some weekend front of house cover / presence
- act as Cathedral lead for Heritage Open Days: co-ordinating the Cathedral’s offer for this high profile event
- with support, develop new initiatives to support the Cathedral’s Green Tourism agenda
4 / Financial Records and Reporting
To support the Project Manager in management and reporting of externally funded elements of Project Pilgrim (including HLF funding) in line with funder requirements /
- processing of approved invoices in line with Cathedral policies and maintenance of appropriate audit trails for claim and reporting purposes
- collating key data including a photographic record to support HLF and other governance updates and reports
5 / Communications /
- drafting press releases to support the Cathedral’s activities and events
- ensuring web and other communications are accurate and updated regularly
- leading on social media with the @projectpilgrim1 twitter account
6 / Development of Pilgrim Phase Two
To support the Project Manager in the development of Phase Two of Project Pilgrim in line with the Cathedral’s existing “Reveal & Sustain” vision /
- supporting the Project Manager to undertake an evaluation of Pilgrim Phase One including undertaking consultation activities with support
- supporting the Project Manager and Head of Development & Communications in preparation of a Round One HLF application
7 / To undertake other duties and special projects as required /
- at the line manager’s discretion and as appropriate to the post but likely to include:
b)attending networking events, training days and conferences to represent the Cathedral
c)Gloucester Heritage Forum administration

- experience of working or volunteering in a visitor attraction and / or heritage site
- experience of taking minutes
- experience of drafting reports
- experience of working with volunteers
- experience of working across multiple teams
- experience of financial systems (processing and management)
- delivery of small scale events
Knowledge, Skills and Abilities /
- good verbal, written and presentation skills
- ability to meet deadlines
- excellent working knowledge of Microsoft (Word, Excel, Access, PowerPoint), internet and email
- good knowledge of social media platforms and use
