POST: Finance Administration Apprentice
GRADE: Apprenticeship
SERVICE AREA: Finance and Corporate Services
JOB PURPOSE: Part of a small team providing administrative support within Finance
RESPONSIBLE TO: Financial Services Officer
RESPONSIBLE FOR: None
KEY DUTIES AND RESPONSIBILITIES:
1. To successfully undertake a structured apprenticeship programme in respect of the Finance Service provided by the Company.
2. To participate in learning opportunities, including an apprenticeship, supported by Calico to develop your professional understanding of finance.
3. To make satisfactory progress on the apprenticeship course as evidenced by college reports and results.
4. To assist with the day to day administration of the rent accounting system, including tenancy amendments and journal adjustments.
5. To undertake the day to day processing of creditor invoices via the Accounts Payable system as required and ensuring all internal controls are adhered to by budget holders etc.
6. To undertake the day to day administration of the Accounts Receivable system, including issuing invoices to customers and posting of payments received from customers.
7. To undertake day to day maintenance relating to incoming direct debits, and new/replacement payment cards,
8. To ensure payments received are posted to customers’ accounts on a daily basis, and that all cash and cheques received are paid into the bank in a timely manner
9. To be flexible in working hours to ensure office is covered between core working hours of 9-5
10. To deal with requests from outside agencies regarding financial references for tenants, ensuring that payment for the service is received prior to issuing any response.
11. To assist with the administration of the Right to Buy/Right to Acquire process for tenants, including liaison with estate agents, solicitors, banks and building societies etc regarding valuations, completions etc., and to deal with all associated correspondence ensuring that the Company meets its statutory requirements.
12. To assist with the administration of the Tenant Contents Insurance Scheme including setting up new applications, posting payments received from customers, issuing claim forms and dealing with cases of non-payment.
13. To issue items of controlled stationery to Company staff as necessary.
14. To administer the petty cash float s and make payments as required ensuring that the float is accurate at all times and arrange for timely replenishment of the float.
15. To assist with the administration of insurance claims on behalf of the Company as directed by the Financial Services Officer.
16. To ensure timely and accurate reporting of amendments to Supporting People cases to Lancashire County Council in accordance with their timetable and to follow up discrepancies/queries as necessary.
17. To undertake additional training relevant to the duties of the post as required.
18. To be proactively involved in the work of a Corporate Group, in order to make an effective contribution to the successful achievement of the group’s aims and objectives.
19. To undertake such other duties as may be required from time-to-time which are commensurate with the grading of the post.
