Deputy Box Office & Sales Manager
Job Purpose
To supervise Box Office staff and volunteers to achieve sales targets and provide an effective Box Office service to all of The Brewhouse’s customers. To manage the day to day administrative tasks of the Box Office.
This post will work full time on the Box Office front desk.

Duties and Responsibilities
Box Office Services
To liaise with visiting companies regarding all ticketing procedures, ticket allocations and company comps, sending weekly sales figures as required.
To oversee the Box Office ticket allocation on Press Nights, monitoring complimentary ticket allocations and processing press and VIP tickets.
To liaise with other organisations and manage the selling of tickets for external events where The Brewhouse Box Office acts as a ticket agent and to upload priority bookings for community shows. To develop and maintain The Brewhouse’s reputation as a ticket agent.
To manage the day to day administration of the Friends scheme including monthly renewals. To be an ambassador for the Friends scheme and increase the number of Friends in line with monthly targets.
To be the main point of contact for group bookings and build relationships with key customers. Prepare invoices and chase payment. To assist the Box Office Manager in delivering a strategy to increase group sales and attract new groups to The Brewhouse with support from the Box Office Assistants.
To manage a system for chasing unpaid reservations.
To manage the selling, redemption and reconciling of theatre tokens.
To promote and upsell The Brewhouse’s catering facilities to increase customers. To take table reservations for pre-show meals, monitoring the number of bookings and be the main point of contact in the Box Office for liaising with the caterers.
To create season briefing information sheets in association with the marketing
department to inform box office staff when selling shows and ensure the effective availability of information for customers.
To work closely with other departments so that customers are informed of the correct information when booking and to pass on any customer feedback.
To ensure the shift book is up to date providing clear communication and transfer of information to the Box Office team.
To lead the Box Office Assistants in a programme of targeted outbound telephone calls to existing and potential customers regarding forthcoming events in line with sales targets and direction from the marketing team.
To assist the Box Office Manager with loading new events on to the box office system prior to each season.
To sell tickets to customers in person, by post and by telephone, using the computerised ticketing system (currently ProVenueMax).
To process internet ticket sales, reconciling customer accounts on the system and dispatching tickets.
To cash up and reconcile the Box Office tills at the end of each shift.
To close down, pulling reports as required, at the end of the day (as per the rota).
To oversee customer bookings for assisted performances.
To take responsibility for sales of exhibition items and merchandise.
To ensure all Box Office staff and volunteers are actively increasing subscription to The Brewhouse e-lists.
To ensure all customers are asked how they found out about an event at the time of booking and that this is accurately recorded.
To ensure that all members of the Box Office team are aware of issues around data protection and apply these when taking bookings.
To undertake regular data cleansing.
To assist the Box Office & Sales Manager in running reports as required.
To assist with customer research as required.
To be responsible for maintaining the highest standards of customer care and ensuring that all Box Office staff and volunteers work together to provide a friendly, welcoming and efficient environment for both audiences and visiting companies.
To ensure that the Box Office area is neat and tidy at all times and that brochure stocks, leaflet stands and displays are maintained and up to date.
Staff Supervision
To supervise the day to day work of all box office staff and volunteers and assist them with problems and queries.
To take responsibility for the Box Office rota to ensure effective and appropriate cover.
To assist the Box Office Manager with the recruitment of volunteers and with training to ensure everyone is confident in their role.
To motivate the Box Office team to achieve sales targets as set by the Marketing & Sales Director.
General Responsibilities
To be trained in all aspects of the box office system and deputise for the Box Office Manager when absent. To attend Heads of Department meetings in the absence of the Box Office & Sales Manager.
The Deputy Box Office & Sales Manager will be one of the ‘duty’ team who are responsible for the overall smooth running and security of The Brewhouse. As such they will act as Duty Manager on rotation – this involves working a Saturday approximately every 4-6 weeks.
To undertake such other tasks as may be reasonably requested.
Person Specification
We are looking for a candidate with at least one year’s experience within a box office or ticketing role. Supervisory experience is essential.
Conditions Of Service
Salary: £14,000 – £16,000 per annum
Hours: 40 hour week, to include evenings, weekends and Bank Holidays.
(TOIL for hours worked over the above).
Holiday: 20 days per year plus Bank Holidays.
