TITLE: Team Project Coordinator

ROLE PURPOSE:
The Member Development and Revenue Growth team’s remit, expanded in 2016 to include oversight of the Funding Global Priority and organisational development work across Save the Children. The expanded remit has seen the team grow and a new structure will be implemented in the second half of 2016 and will include three teams: The Global Fundraising Hub, Organisational Development and Business Operations. With team members based in multiple locations around the world need to re-orientate our resources to ensure that we have adequate oversight and coordination to deliver against our accountabilities, across an even more diverse range of stakeholders.
The role of the Team Project Coordinator is to provide project coordination and support to ensure that the team can deliver key projects on time and meet objectives, as well as to ensure that the team members, based in several different geographical locations, can work together effectively to support Save the Children’s members as required. The role will also facilitate internal team communications as required and ensure effective communication with the Funding Global Priority.
The role will provide administrative/logistical support through facilitation of key team and international meetings (e.g. skill shares, FD meetings) throughout the year. In addition, the Team Project Coordinator will, where required, provide some administrative support to both the Director of the Global Fundraising Hub and the Head of Organisational Governance and Member Advisory. They will focus on adding value through monitoring the team’s travel plans and budget as well as enabling the team to perform efficiently.
SCOPE OF ROLE:

Budget Responsibilities: No direct budget responsibility but given the level of travel undertaken by the team, cost efficiencies should be a core focus.
Role Dimensions: Experience managing multi-stakeholder relationships in complex networked organisation and in a number of geographies. Daily liaison with colleagues from SCI and Save the Children members.
KEY AREAS OF ACCOUNTABILITY:
Project Coordination
Coordinate, arrange and facilitate communication/engagement between the team and the various stakeholder representatives and departments within Save the Children International and the Save the Children members on key strategic projects. Liaise with senior project stakeholders, including at senior management team level.
These key projects include:
·  Support to the Fundraising Directors’ Steering Group of 5-6 Fundraising Directors that meet on international calls monthly and in person 2-3 times a year.
·  Coordination of the Fundraising Directors’ meetings (up to 40 attendees).
·  Support to the Fundraising Forum (up to 150 people attending) and hosted by a member organisation.
·  Support to team meetings in the directorate (3-4 p.a.)
·  Support to any international training or skill share meetings usually hosted by a member organisation.
·  Overall team calendar for the Member Development and Revenue Growth team.
Support to Director and other senior staff
Provide administrative and coordination support to the Director of the Global Fundraising Hub and the Head of Organisational Governance and Member Advisory. To include some diary management for international meetings or conference calls as well as preparing documents and presentations for key stakeholder meetings.
Administration
·  Monitor the team’s budget and track the budget and process invoices for key projects
·  Set-up a tracking of key consultancy contracts and budgets
·  Secure the necessary sign off for key documents (MOUs, Budget Confirmations)
·  Maintain filing of such documents and other important correspondence as necessary
·  Assist the team in organising and running large meetings and events
·  Assist the team in organising regular team meetings and calls for key projects
·  Develop strong, positive relationships with relevant stakeholders to the team
·  Ensure adherence to SCI policies relating to travel
·  Supporting the travel tracking of the team
·  Focal person for new team members. Working closely with HR/IT to ensure smooth on boarding process and coordination of all team inductions.
·  Coordination with the team of visits to SCI/SCUK from fundraising teams/relevant member staff from around the world.
Knowledge Management and Communications
·  Responsible for keeping the team’s intranet pages up-to-date using content provided by the team or member organisations.
·  Ensure the team is filing and saving documents and materials in a way that improves efficiency and engenders knowledge sharing across the team.
·  Supporting a regular communication cycle for the team in line with the Funding Global Priority and working with Internal Communications and the Funding Global Priority Project Manager as appropriate, collecting and collating relevant updates from the team to provide content for internal communications.

Carry out any other duties either in addition to or instead of those outlined above which may reasonably be required from time to time, in order to assist the team in meeting their responsibilities and working most effectively

EXPERIENCE AND SKILLS:
·  Experience in a similar role, preferably within the NGO sector and/ or in an international environment
·  Highly developed organisational awareness
·  Experience in project coordination, in particular experience in ensuring key deliverables are produced on time.
·  Sound judgement and an ability to effectively prioritise multiple tasks in a constantly changing environment.
·  Ability to adopt a pro-active approach and offer solutions as appropriate.
·  Sound knowledge of office practices, procedures and administrative systems including filing systems. Competent in use of Microsoft Office including Word, Excel, PowerPoint and Outlook.
·  Experience of planning and organising meetings and events, with a strong attention to detail.
·  Ability to track and monitor a budget.
·  Proven ability to work effectively at an international level gaining trust and confidence with both internal and external stakeholders, and in particular senior stakeholder management in a highly political environment.
·  Strong written and oral communication skills with an eye for detail and fluent in English
·  Ability to liaise and communicate effectively with a broad range of people at all levels, across different cultures and to act with credibility, discretion, tact and diplomacy both within and without the organisation.
