Purpose of Job:

  1. To provide administration support to the Information, Advice and Family Support Team
  2. To be the first point of call for all visitors and telephone calls
  3. To assist with promotion, referral and running of the service

Key Tasks & Responsibilities

  1. To undertake a wide range of administrative duties to high standard including producing various documents in Microsoft packages, photocopying, collating information and filing.
  2. To assist with the promotion of the Information, Advice and Family Support service.
  3. To meet and greet parents/carers/children/young adults at the Ronnie MacKeith Centre
  4. Make phone calls and answer incoming phone on behalf of Umbrella and action or record messages as appropriate
  5. To provide administrative support at Information, Advice and Family Support meetings
  6. Maintain the database as appropriate with confidential details of children/young adults and their families.
  7. Have responsibility for the petty cash at the office
  8. Assist with overseeing the smooth running of the office including stocks of stationary, toners and refreshment supplies,
  9. Gather information for monitoring reports, including basic excel use, to regularly update FIS Lead on projected target achievement.
  10. Support Family Support Workers with diary management, and entering basic case log information to Access and Excel.
  11. To attend staff and team meetings and liase regularly with the team on all aspects of the organisation, to take minutes at team meetings,
  12. To assist with any other duties that may occur from time to time in order to meet the needs of Umbrella, which are not covered in the above. These will be mutually agreed with the Office Manager
