Charter on use of the COP23 Labels

I.  Introduction

A COP23 “endorsed” Label has been created for both events and initiatives. This Charter determines the terms, conditions and responsibilities of the different parties to ensure proper use of the “Endorsed Event” and “Endorsed Initiative” Labels.

II.  Logo terms of use

1)  Only the COP23 Presidency Secretariat (‘CPS’) is empowered to authorise the use of the official COP23 Logo or Label, and such use is subject to any special conditions that the CPS may specify with respect to features of the requests made to it.

2)  The use of a Label is subject to the express written permission of the CPS, accompanied by the signature by the applicant of this charter.

3)  The use of a Label is granted for a unique and specific purpose, which is the one declared by the user in the application. Any other use will be subject to a new application and a new approval by the CPS.

4)  The right to use a Label is strictly personal, it is neither accessible nor transferable to a third party, whether free ofcharge or inreturn for payment.

5)  The use of a Label cannot be associated with actions or activities that could affect or be detrimental to the image of the COP23 Presidency, the Fijian Government, the country of the Republic of Fiji, or the Conference.

6)  A Label cannot be used for partisan political purposes, economic, commercial, advertising, or any other uses not approved by the CPS.

7)  The user expressly agrees to respect the integrity of the Label and to faithfully reproduce the graphic characteristics of the Label, respecting the forms, proportions, colours and graphic character. The Label will always appear in its entirety. No parts of the Label may be reproduced separately. No modification of the Label and the Logo contained therein is authorised. The affixing of explanatory text, captions, or other indications which are not part of the Label is strictly prohibited, whether on or alongside the reproductions.

8)  The use of a Label in conjunction with an event or initiative does not entitle its holder for accreditation to the Conference.

9)  The granting of the right to use a Label gives no claim to a funding requirement by the COP23 Presidency.

10) The applicant shall comply, and ensure organisers comply, in the best possible way, during the periods of preparation and running of the event/initiative, with the principles of environmental responsibility listed in the Annex.

III.  Responsibilities

1)  The CPS accepts no liability for the use that may be made of the Label and consequences that might ensue.

2)  Any direct or indirect responsibility of the CPS is excluded for possible claims or third party rights over projects using a Label.

3)  The CPS reserves the right, without having to justify its decision, to prohibit at any time the use of the Label for non-compliance with the rules of use set out above and can withdraw without notice the authorisation granted to a user, according to the notification method that the CPS deems appropriate. The authorisation granted to a user will be systematically and immediately withdrawn in the event of non-compliance by the latter of the terms and conditions; the user will have to immediately stop using the Label in any medium, whether in physical or digital form.

4)  The CPS reserves the right to prosecute any legal person who does not respect the rights attached to the Label, their conditions of use and the principles of application.

5)  The CPS reserves the right to modify the terms of use of the Label at any time without notice.

6)  The responsibility of the CPS is excluded regardless of any user’s negligence to the user’s obligations, the present terms of use and use of a Label. Further, the responsibility of the CPS will not be engaged in the case of force majeure or events beyond its control.

7)  Any difficulty on the use of the Label and the interpretation of this Charter comes under the jurisdiction of the Republic of Fiji, acting in accordance with the laws of the Republic of Fiji.

IV.  Signature

1)  The signing of this charter embodies the institutional support of the COP23 Presidency to the project/event "EVENT NAME / PROJECT"

2)  This support is symbolised by attaching a visual COP23 Label on communication mediums for endorsed projects/events.

3)  The endorsed project/event will be promoted on the COP23 Presidency website (www.cop23.com.fj) and on social media.

ANNEX: COP23 ECO RESPONSIBLE COMMITMENTS

COP23 label beneficiaries undertake to limit the environmental impact involved in the organisation of their events by implementing, when possible, the following actions:

Communication and Information

-  Minimise paper use

-  Design, whenever possible, double-sided (front and back) documents

-  Give priority to electronic communications (e-mails)

-  Put as much information as possible online: programs, plans, inscriptions, notes on conferences, signage, signalling, etc.

Purchasing and Supplies

-  Take into account the environmental and social criteria in the selection of local and regional suppliers and producers

-  Offer participants gifts and promotional items of craft made of recyclable and reusable materials

-  Give priority to local and seasonal products

-  Avoid over-packaged products (unnecessary waste producers)

-  Correctly assess the amount of food to avoid waste

-  Avoid disposable plates and cups and favour reusable dishes

Transport

-  Choose a site for the event easily accessible by public transport, or on foot, to minimise the use of private cars

Waste management

Reduce waste at the source:

-  Optimise purchases (food, dishes, equipment, etc ...)

-  Use recyclable, biodegradable materials or reusable dishes when using cups

-  Establish a set of principles for reusable dishes

-  Implement a selective waste sorting system consisting of 3 recycling bins (1- paper and cardboard, 2- glass, 3- metal and plastic)

-  Raiseawarenessaboutselectivewaste disposal

-  Use water tanks rather than plastic bottled water to limit waste production

-  Organise the collection and direct biodegradable waste to a composting industry

Standards for possible exhibition space

-  Inform exhibitors of the eco responsible character of the event

-  Facilitate access to people with special needs

-  Ask exhibitors to limit the number of brochures and promotional items

-  Reduce, reuse, and recycle packaging

-  Remember to recycle any decoration or stand that can be reused to redirect them to schools or non-profit organisations

-  Require exhibitors to recover all their equipment at the end of the event

Behaviour of participants:

The term "Participant" has a broad meaning. It includes, organisers, partners, media providers, volunteers and the public.

Participants will observe and respect a few rules, including:

-  Respecting the environment, values and local traditions

-  Saving water

-  Saving energy (use air conditioning / heating if necessary, turn off lights, unplug the chargers, do not leave equipment on standby, etc ...)

-  Reduce waste (especially paper and plastic bottles)

-  Ensure compliance of waste sorting regulations; Inform and educate family and friends about the COP23 environmentally responsible approach
