BEGINNING OF SCHOOL YEAR ACTIVITIES and MAINTENANCE

(Please refer to district maintenance, school calendar, managing cases, work as staff person leaving documentation for more complete information about these steps)

AfterSIS system school year rollover is complete:

1. Verify Past Date and Future Date limits in District Maintenance, District Options for each district. See District Maintenance documentation for more information.

2. Change Fiscal Year in District Maintenance, District Demographics. For coops, must be changed in each district by choosing district


3. Update Calendars–District Maintenance, Calendars. Coops will need to select each district then click calendars

  1. Click Edit
  1. Pick the first calendar and extend the school year- in this example the update has been done. The beginning date should be the next day after the end date and the end date one year later. (ie. 7/1/09 – 6/30/17) Verify the grades selected are correct for that school.

  1. Click View - Verify days for holidays, etc. Make sure that the ESY days in blue are correct for that school
  1. If you are unsure of the calendar go back to the calendar list and take a screenshot before making calendar copies. To copy the calendar to the next calendar in line, click on copy select the school that you are copying to and enter the calendar code. In this example the calendar code is built into the calendar name. Next, select the grades for the calendar. For example, this calendar is being copied to the middle school so the grades checked would be 5,6,7and 8. Last, key in the begin and end date.

4. Editing Schools – By default the state school code will match the school code in Student Plans. Verify that the state school code used by MARSS, is correct.

On the District MaintenanceMenu Bar, click Schools. / The School List page is displayed with a table of all the schools in the system.
In the Schools table, select a school and click edit. Add the minutes in a school day for that school. / The School Definition page is displayed. Complete the required fields denoted by an (*) and in red.
Click in the input boxes and edit information or click in the radio buttons to set the options as you wish.
NOTE: The new state school code is used for MARSS reporting to reconcile the SIS school code number to the one that has been assigned in Student Plans. /
  • Use the state school identifier as the school ID – 4 characters.
  • School Abbreviation – 10 characters.
  • School Name – 35 characters.
  • StateSchool Code - 4 characters
  • Address – 35 characters.
  • City – 20 characters.
  • State – 2 characters.
  • Zip – 10 characters.
  • Phone – 20 characters.

Click the Submit button. / The School List page is displayed with a success message.

5. Verify the district contact information for your district and other receiving districts that your students may come from. This information is used in tuition agreements
Go to district orsystem templatemaintenanceDistricts(state) table. Click edit.

Click edit. The top half is usually the superintendent of the school district, bottom half is the name and address where you send the tuition billing.

  1. Staff Maintenance (SEE STAFF MAINTENANCE DOCUMENT)
  2. Remove staff members who have left
  3. Edit staff members who have changed roles or schools
  4. Add new staff members
