POSITION: Accounting Assistant
SUPERVISOR(S): Finance Manager
SUPERVISES: N/A
GENERAL DESCRIPTION:
§ Responsible for assisting the finance manager in all areas of finance
§ Primary responsibilities in customer service and accounts receivable
DUTIES:
§ Receives, processes, and posts student payments into the A/R portion of CAMS
§ Makes and records AOMA deposits for clinics, stores, and student payments of tuition and fees
§ Records online payments
§ Tracks status, records, and deposits payments for AOMA room rentals and continuing education and community classes
§ Records clinic insurance billing claims into QuickBooks system
§ Answers questions, resolves issues, and provides excellent customer service to students
§ Creates biweekly reports of tuition A/R from CAMS and reconciles student balances to A/R reports and QuickBooks postings
§ Follows up on past due student statements, including assessing late fees, contacting students and alumni
§ Ensures student payment plan paperwork is complete
§ Maintains and reconciles A/R files, including student loans
§ Maintains petty cash and makes deposits
§ Maintains files and records of deposits
§ Maintains contract database
§ Coordinates scheduling of flights
§ Prepares Forms 1099-Misc and 1098-T at the end of the year
§ Records monthly inventory transfers for both North and South stores
§ Help students with transactions and payments as needed
§ Prepares and helps communicate reports for all departments relating to finance.
§ Helps maintain bi-annual inventory
§ Files credit card receipts, payables, and student finance documents
§ Process NSF Checks
§ Look for and assess areas for improvement
§ Help and be available for other projects as they come up

MINIMUM QUALIFICATIONS:
§ Minimum of two years experience as a bookkeeper
§ Experience with A/R and commercial bookkeeping software
§ Strong interpersonal skills. Ability to take initiative, attention to details, and multi-task
§ Able to meet deadlines and to protect confidential information
§ Advanced computer skills in QuickBooks, Microsoft Office – Word, Excel, Outlook, and use of financial spreadsheets
PREFERRED QUALIFICATIONS:
§ BA in accounting
§ 3 years experience as a bookkeeper
PHYSICAL REQUIREMENTS
§ Travel as necessary
§ Attend events where standing may be required for several hours at a time
§ Walking, stooping, kneeling, crouching, reaching and twisting as needed
§ Occasionally moves/transports, lifts up to 25 pounds
