To Whom It May Concern:

You are invited to submit a quotation to supply the Huntsville Utilities Gas System with various plastic, steel, and other gas related products per the enclosed Huntsville Utilities Gas Material to Bid (2017-12-08) spreadsheet. Period of support will be one year beginning January 1, 2018, with an option to extend for two additional one year periods dependent upon mutual agreement of both parties.

All bid submissions must be presented on the attached Proposal Form [Gas Material to Bid (2017-12-08).xlsx] provided in the sealed bid at the time of bid opening. A soft copy of the above mentioned spreadsheet is also required at the time of the bid opening (a flash drive included in the sealed bid will be sufficient). You may provide supplemental information and/or alternative options, but they must be noted on the Proposal Form that the options are provided. Huntsville Utilities reserves the right to award this contract on a lot basis.

Reference the enclosed Terms and Conditions for quoting this contract. The Terms and Conditions (Attachment A) should be reviewed, completed, and signed as an integral part of your proposal. The Conflict of Interest Form (Attachment B) and Non-Collusion Affidavit (Attachment C) must be completed, signed and included as part of the bid package.

Quote terms, availability, firm price, and FOB Huntsville, Alabama, at Huntsville Utilities receiving points. We reserve the right to consider alternative pricing proposals.

Please mark your envelope with the bid opening information in the lower left corner and include the bid number, opening date, “Attn: Water System Bid” and Attn: Jim Lawson. If you use a window envelope, this information must be visible.

Signed, dated, and sealed proposals will be accepted until 10:00 a.m. on the above bid opening date. Proposals received after the bid opening time and date will be rejected. Proposals received via facsimile machine or telephone will be rejected.
