Job Title / Fundraising income and database executive
Responsible to / Database and insights senior executive
Working hours / 37.5 hours per week
Working pattern / 9.00am – 5.30pm; Monday to Friday

Scope of the job

To provide support to the Database and insights senior executive, maintaining the fundraising database and ensuring that all income is correctly recorded. To also take the lead on the thanking process, ensuring individual supporters are acknowledged in a timely manner. Coordinating all gifts in kind, including supporter liaison and gift distribution. The post holder will be expected to provide general help with fundraising events and activities and required to attend events as necessary.

Job responsibilities

Managing service delivery and performance

1.  Act as the first point of contact for all fundraising enquiries, providing high quality supporter care through efficient and effective response

2.  Work closely with the Database and digital senior executive to maintain and update the Raiser’s Edge database ensuring all fundraising records are accurate, and all database business rules are followed

3.  Lead on all income processing for the team ensuring that all fundraising donations are correctly recorded on the database, working closely with the Finance team to identify any unknown/anonymous donations

4.  Work closely with the Database and insights senior executive to ensure all data protection policies are adhered to in regards to supporter information and ensure that data is processed in such a way as to be compliant with official registers: the Fundraising Regulator, the ICO, telephone preference services (TPS), mailing preference services (MPS) and other legislative/best practice requirements. This also includes the new GDPR regulations coming in to effect in May 2018.

5.  Work closely with the Database and insights senior executive to ensure all supporter consent s kept up to date and accurate in accordance with current data protection legislation and the new GDPR regulations coming in to effect in May 2018

6.  Supporting the team with the creation and ongoing management of software and platforms to allow the import/export of data to/from Raisers Edge to approved third party integrations

7.  Ensure that all individual donors are thanked appropriately and in a timely manner

8.  Ensure that all bank statements, just giving reports and other third party financial statements are uploaded onto the database weekly

9.  Work with the Events and community fundraising executives to provide support for event and community fundraising activities, which could include sending out packs and materials to supporters

10. Ensuring that all actions and acknowledgements are sent in adherence with the appropriate supporter journey

11. Work with the team to support the promotion of particular initiatives such as payroll giving by liaising with relevant promotions and administration agencies

12. Oversee various online fundraising tools including Give as you Live, EBay and PayPal

13. Coordinate the receipt of donations in kind from supporters and manage distribution to services as required.

14. With the guidance of the Database and insights senior executive, train and create work-plans for the database volunteer.

15. Provide support on fundraising projects as and when necessary, including attending fundraising events

16. Maintain an accurate fundraising filing system

17. Carry out any other duties as required

21. To promote and support equality and empowerment within all areas of work.

22. To represent and be an ambassador for Refuge, working in partnership internally and externally with other agencies to ensure an effective coordinated community response to survivors of sexual violence and their children.

23. To develop and maintain positive, collaborative working relationships with all Refuge staff both locally and across the wider organisation, being committed as part of the team to providing a high level of support to survivors.

24. To actively participate in Refuge’s performance management processes including regular supervisions and development. (Please note this will involve travel to London)
