Administration Assistant (Permanent Full Time) Posting Date: November 27, 2017
Reports to: Band Administrator Classification: 7A
Reporting to the Band Administrator This position is responsible to provide secretarial, clerical and administrative assistance to the Band Administrator. Under the direction of the Band Administrator, the incumbent is tasked to provide task support to all aspects of overall general government administration functions including but not limited to assigned specific and general administration projects, reception, supplies, records management, office logistics and access, incoming and outgoing mail, office equipment, etc., keys / access management, etc. The role will assist the Band Administrator with the overall day to day administrative requirements for the effective and efficient functioning of the government within the Band Administration main office and all other buildings housing government staff when required. This position is answerable to the Band Administrator and requires “complete confidentiality at all times.”
Job Duties & Responsibilities
· Be proactive in considering and recommending new and more efficient approaches to the Band Administrator that support the administrative needs of all government departments;
· Responsible for preparing of Administration reports, correspondence, memos, purchase orders, notices, schedules, and other materials as requested or required;
· Provide support to the Records Management Coordinator and departments for the ongoing maintenance and storage of central records systems for all current and new government files and historical documents, until such time as the government competes the establishment of a records management system for access, storage, retention and disposal;
· Assist with the maintenance, repair and replacement for all administrative equipment;
· Develop and report on an efficient government wide recycling process that will encourage and require all staff participation through a tangible visible reward system, easy access to recycle stations and a manageable process;
· Assist with the relocation of existing staff and new staff office space furnishing on an as needed basis and as requested by departments;
· Assist the Band Administrator with the dissemination of Administration and Program area department information between Administration and Chief and Council;
· Record minutes and action items from Band Administrator’s regularly scheduled team meetings when requested;
· Establish and maintain an effective supplies management process that reduces waste and provides efficient access to supplies by staff by;
o Monitoring inventory and ordering office supplies for the organization as required;
o Establishing and maintaining online inventory;
o Monitoring supply purchases ensuring they stay within budget; and
o Perform daily/weekly/monthly/quarterly organizational office supply orders that reflect the supply need for that period of time.
· Draft agendas and manage logistics for large and small Administrative internal and external project meetings;
· Provide back-up reception to receptionist and Council Administrator;
· Operate office equipment, including photocopier, postage meter, fax machine, printers, and other office equipment;
· Provide back-up support to the Council Administrator when required by the Band Administrator during Council Administrator leaves:
Minimum Academic/Educational Requirements
· Grade 12
· Post-secondary courses in business or an equivalent combination of education and experience.
Other Certification, Licenses, Designations and/or Training
· Must pass Criminal Record Check.
· Must have a Drivers License with a clear Driver’s Abstract
Minimum Level of Experience
· 1 year working in a First Nation Environment;
· Must have some understanding of relevant policies and procedures;
· Must demonstrate sound work ethics;
· Must have excellent computer & keyboarding skills;
· Typing skills are to be quick, accurate, and above all, efficient.
· Proven strategic project planning and management skills.
