I. INTRODUCTION

The 121st IOC Session and XIII Olympic Congress will be held in The Bella Center, Copenhagen, Denmark, from October 1st to October 9th 2009.

The Main Press Centre (MPC), which will operate for both the IOC Session and Olympic Congress, will be located in HallB.

The MPC will open on Monday September 28th and close on October 9th. The MPC’s operating hours are:

  • September 28th: 07:00-24.00
  • September 29th: 07:00-18:00 (early closing due to security sweep of the BellaCenter)
  • September 30th from 07:00 to October 3 at 24.00:Open 24 hours
  • October 4th to October 9th: 7:00-24:00

General facilities and services at the MPC include:

  • Tabled press seats with power
  • WiFi will be offered free of charge to all accredited media
  • Cloak room dedicated for accredited media
  • Television monitors
  • Interview locations
  • Cafés
  • Press conference room

The BellaCenter

The BellaCenter is Denmark’s state of the art conference and exhibition centre, host to many of Europe’s largest international conferences, congresses and exhibitions.In December 2009, following the IOC Session and Congress, the BellaCenter will host “COP 15 - Copenhagen 2009, the United Nations Climate Change Conference” expected to attract app.20,000participants.

The Bella Centre is located 5 km from the city centre of Copenhagen and 6 km from CopenhagenAirport. A shuttle service for the media will be provided for the duration of the IOC Session and Congress to and from media hotels located in downtown Copenhagen.

For international visitors, rental of cars and other vehicles can be provided by Europcar. The Danish Organising Committee has made a special agreement with the promotion code 50038653 and ordering through this link:

III. TERMS AND CONDITIONS

Payment:The full payment must be received by August 14, 2009, see details below.

2. Prices and Taxes

  • All rates provided are quoted in Danish Kroner (DKK). Rates are also shown in US Dollars, however payable in DKK
  • Prices include all applicable taxes, technical support and services.
  • If there is a significant change in the demand for services, or a change in market conditions, the Danish Organising Committee reserves the right to revise any applicable rate in this document.

3. Order Process

  • Orders are sent individually using the order form below. Orders can be sent by e-mail, fax or mail to the Danish Organising Committee.
  • Order confirmation will happen through issue of a Statement of Confirmation from the Danish Organising Committee
  • Order Activation will only be initiated after receiving full payment
  • Order Cancellation can happen until July 31, 2009 at no charge. After July 31, 2009 there will be strictly no refund.
  • Late orders will be processed upon availability.

4. Payment

The full payment must be received before August 14, 2009, otherwise orders will be cancelled.

The payment must include (as a reference) the full name of the person, for whom the products have been ordered. If an organisation/company has ordered rate card products for more than one accredited person, separate payments for each person must be made.

5. Rate Card Administration

The Danish Organising Committee will operate a RateCardServiceCenter at the BellaCenter, Hall B from 09.00 to 18.00 from September 28th to October 9th.

6. Check In & Out Procedure

Upon arrival at the BellaCenter, a representative from each broadcaster/Media shall confirm, in writing to the Danish Organising Committee, the acceptance of all rate card products ordered.

Upon departure, the representative is required to formally return items to the Danish Organising Committee and achieving receipt hereof. If check-out process is incomplete, the full replacement value of the products in question must be paid upon request from theDanish Organising Committee.

7. Session-time orders

During Session time, orders can be placed to the Danish Organising Committeein theRateCardServiceCenter in Hall B (opening hours 09.00 – 18.00).

Payment must either be in cash (payable in DKK, EURO or USD at displayed rates) or by credit card (VISA preferred).

All Session time orders will be subject to inventory limitations. The Danish Organising Committee may accept, accept in part or reject Session-time orders.

IV. ACKNOWLEDGEMENT OF RESPONSIBILITY

For each product of the Rate Card, the following terms and conditions apply upon the Danish Organising Committee receipt of your order and payment, to be confirmed at delivery:
”We will be fully responsible for any Rate Card goods and services while they are in our care and will return the goods to the Danish Organising Committee in the same condition, except for reasonable wear and tear, as we receive them. If any goods in our care are damaged, stolen or lost, we will immediately notify the Danish Organising Committee and pay upon request the full replacement value of the products.

The description, availability of price of certain products in the Rate Card may change and we will not hold Danish Organising Committee liable for any changes except for reimbursement by the organising committee of any payment already made by us for products, which the Danish Organising Committee cannot provide.

Upon receipt of the product we paid for, we will satisfy ourselves that they are in working order and comply with the description in the Rate Card and advise the Danish Organising Committee immediately in writing if they are not. Such notification should be sent to using your order number. If so notified, the Danish Organising Committee will repair or, subject to availability, provide an equivalent replacement or refund for any such product. Other than what is required by law, the organising committee will have no other liability to us for any matter connected with the Rate Card or the goods and services, whether for breach of its terms, negligence or otherwise.”
