Remote Technology Coordinator

Provide seeks an enthusiastic technology generalist to drive organizational capacity around technology/knowledge management and motivateeffective use of remote work tools across a growing remote staff. As the RemoteTechnology Coordinator, this individual is responsible for effectively partnering with external vendors (such as user support, and Sharepoint developers) to build and maintain organizational capacity and for proactively supporting staff to leverage remote work tools.

Founded in 1992,Provideis a national and growing organization working to make sure that women have access to abortion, especially those living in rural communities and Southern and Midwestern states.Provideeducates and supports health and social service providers to be able to give the care and support women facing unintended pregnancy need. Our work is rooted in the on-the-ground realities of women’s lives and of the systems and resources that are available to them. We believe that everyone has a role in supporting women’s access to abortion care, and that by giving people the tools and resources to play their role we can transform the way abortion is experienced where improved access is needed most.

Description

Thisfull-time 40 hours/week positionreports to the Office Manager. This position is open to residents in the United States. This position could either be based out of Provide’s office in Cambridge, Massachusetts or could be a remote work position. Responsibilities include, but aren’t limited to:

Knowledge Management – 50%

  • Develop proactive efforts to ensure that information across areas of Provide is documented, accessible and used to maximum impact
  • Lead the internal process to customize Sharepoint infrastructure, partnering with external vendors
  • Identify 1-2 opportunities to further support effective knowledge management per year, partnering with external vendors as needed, such as:
  • Smarter use of Sharepoint libraries – use of metatags, dynamic search and views for better organization, RSS and Sharepoint newsfeeds, “following” of topics and people, etc
  • Exploration and potential development of other Sharepoint based apps – from existing free library, and custom developed if needed
  • Migration from Skype to Skype For Business for more integrated and centrally managed chat and teleconference platform.
  • Support the consistent use of knowledge management tools organization-wide
  • Ensure the adoption of project managements tool (Asana), partnering with internal staff working group and Deputy Director.
  • Monitor use of shared files, honing structure for accessibility.
  • Others as adopted over time.

Information Technology Support – 40%

  • Liaise with Provide’s Information Technology consultant
  • Manage Information Technology consultant’s contract.
  • Develop strategy to pace systems growth with staff growth.
  • Support smooth interface with user help desk and Provide staff around IT issues as they arise.
  • Review monthly technology status reports and flag strategic issues related to Provide technology infrastructure
  • Meet quarterly with IT consultant and Deputy Director.
  • Conduct an external technology review of technology services, as needed.
  • Manage capital equipment necessary to support remote work
  • Develop plan for managing capital equipment related to remote work, responding to organizational needs.
  • Maintain list of all Provide equipment.
  • Order equipment for new employees.
  • Collect equipment from departing employees.
  • Effectively and strategically support growing remote staff around technology use
  • Assist new employees with adopting and consistently utilizing remote work tools including Office 365, Outlook calendar, Go to Meeting, Skype, and Asana.
  • Hold periodic Office 365, Outlook calendar, and Asana training and refresher sessions.
  • Maintain group email distribution lists.
  • Explore organizational use of other Office365 services.
  • Sway for interactive reports and presentations.
  • OneNote for free form, collaborative data storage for any and all data types.

Perform Additional Team Responsibilities – 10%

  • Professionally represent Provide at all times, including at conferences and meetings as requested.
  • Participate in organizational meetings, as requested.
  • Assist Deputy Director and Office Manager as needed.

Qualifications

  • 3-5 years’ experiencein operational support
  • Proven experience leveraging Microsoft Office 365 tools to meet specific organizational needs (Microsoft certification desired)
  • Knowledge of systems administration
  • Awareness of project management tools
  • Experience with andcuriosity around remote work practices
  • Enthusiasm for project management, including theexploration of user experience,iterative planning, and effective implementation.
  • Excellent interpersonalskills and demonstrated success in communicating with diverse audiences
  • Proven ability to work with efficiency, flexibility, and a good sense of humor.

Salary and Benefits

The Remote Technology Coordinator is a tier II position. Starting salary range is $40,000 to $50,000, in addition to a generous benefits package. Provide offers scheduled performance-based salary increases on a 6-month cycle for the first 24 months of employment, and on a 2-year cycle thereafter.
