Introduction:

Children Change Colombia is the UK's largest charity working exclusively in Colombia. We work with children whose rights to a safe, happy childhood, and a fulfilling future, are threatened by poverty, inequality and violence. We believe that, with a knowledge of their rights and the confidence to assert them, children can transform their own lives, their communities and Colombia itself.

Key Responsibilities:

As Fundraising and Finance Assistant you will be the first contact point for all donor enquiries and will be responsible for managing the administration behind our fundraising and our finances, including managing our database of contacts. You will also provide support with updating our website and coordinating the production of our newsletter. You will have the energy and passion to manage this wide-ranging role and be a crucial part of our small team.

Responsibilities:

Fundraising and Communications

•Act as the first contact point for all donor enquiries

•Manage our donor data-base including developing and improving methods for entering donations.

•Ensure donations are thanked in accordance with CCC’s thank you policy

•Coordinate fundraising mail-outs

•Coordinate production and mailing of newsletters, Christmas Appeal and Events invitations

•Maintain, and upload content to, CCC’s website.

•Support events when required

•Provide online analytics reports to team

Financial

•Support the grant transfer process in the UK

•Enter donations on the data-base (Online Giving, Payroll Giving, BACS, CAF Disbursements, Cheques, Cash, Charity Vouchers, Credit cards & Standing orders)

•Batch and bank donations

•Revise batches when necessary

•With the Finance Manager (FM), reconcile the database with accounting software (Quickbooks)

•Under the supervision of the FM, manage quarterly and event Gift-Aid claims

•Ensure all invoices are signed off by the Executive Director (ED), paid and filed

•Drawing, managing and reconciling the petty cash

•Manage CCC’s PayPal account

•Destroying credit card information older than 18 months

•Address any banking queries or problems with donations

•Prepare paperwork and be in the office for CCC’s annual audit

Governance

•Under the supervision of the ED, ensure all manuals are up-to-date and made available to staff.

•Under the supervision of the FM, ensure CCC’s legal and financial obligations are met in the UK (insurance renewed and updated each year; annual returns, annual accounts, staff/trustee changes sent to Charity Commission and Company’s House; etc.)

General Admin

•Coordinate volunteers, including recruit and manage FR intern (with Events and Community Fundraiser)

•Ensure filing and archive systems are up-to-date and confidential when appropriate

•Answering the phone and meeting needs of enquirers

•Manage ordering of office supplies

•Attend Development House tenant representative meetings and write minutes to share with the team

•Ensure effective maintenance of office equipment: computers, printers, scanner etc.

•Keep annual leave and sick leave records updated

•In keeping with CCC’s Child Protection Policy, process all staff, trustees and volunteer CRB checks

•Provide support for the recruitment process when required

•Admin support to the ED when required e.g. on managing relations with the Board of Trustees

•Other administrative, financial, communications or fundraising tasks as required by the ED within the current level of responsibility of the post.
