The file format described below is used to send member information and eligibility to New Benefits. To prevent processing delays or erroneous information, please ensure adherence to the file format. A test file is required for all group activations.
File Types
New Benefits’ file types are Excel and Comma Delimited. Below are details and requirements for each type of file. New Benefits can accommodate eligibility for numerous groups in the same file submission.
Excel Spreadsheet
Requires *plain text cells and saved using the file extension csv.
* Failure to do this results in dropped off leading zeros, date conversions, scientific notation which may delay member processing.
Comma Delimited File
Contains all information separated by a comma and saved using the file extension of either txt or csv.
Member Eligibility Reporting
Member eligibility is reported in two ways:
· Add/Term File: Contains members with specific record types
Required file naming conventions:
Ø group number_date(MMDDYYYY).extension
or
Ø group name_date(MMDDYYYY).extension
Example: NB123_01012016.csv or ABC Company_01012016.csv
Type: / Action:A / Add a new member or reactivate and print cards
C / · Change member’s information and reprint cards
· Reprint cards
M / Modify member’s information but do not print cards
N / Reactivate member but do not print cards
T / Terminate member
· Positive File: Contains all active members with a “Type” code of “A.” Any member not on this file would be terminated.
Required file naming conventions:
Ø POS_ group number_date(MMDDYYYY).extension
or
Ø POS_ group name_date(MMDDYYYY).extension
Example: POS_ NB123S_01012016.csv or POS_ABC Company_01012016.csv

Note: Do NOT delete columns even when they’re not populated
Columns A – C: Refer to column header descriptions (all required)
Column D: Very important! This is a unique identifier and required. Can be an employee ID, Account/Customer number, Association number, email address, etc.
Columns E – L: Refer to column header descriptions

R / C / 1 / N / Language (E- English or S- Spanish) Record defaults to English unless field is populated
S / C / 35 / N / Affiliate Code: This optional field is used to send the group's internal reseller ID or other information. This data will appear on commission statements and other reports but will not be used to pay commissions to individual resellers.
T / C/N / N / Misc 1 (See Account Executive, if necessary)
U / C/N / N / Misc 2 (See Account Executive, if necessary)
V / N / N / Social Security Number (xxx-xx-xxxx) required for members & dependents with LifeLock benefit
*C: Character N: Numeric
Group Deactivation
To deactivate an entire group, please email . Terminating all members in a positive or add/term file does not deactivate the entire group.
