Board Position Descriptions
President
Eligibility Requirements
Must be an MCAC member in good standing.
Must have served previously in one of the Board of Director officer positions, either on the PMI-MCAC Board or at another PMI Component Chapter, for a minimum of twelve (12) consecutive months.
Roles and Responsibilities
· Responsible for the overall functioning of the Chapter.
· Ensures that the Chapter Board works together as a team dedicated to achieving the Chapter vision, mission, and objectives.
· Serves as the Liaison to the Executive Office of the PMI.
· Prepares and submits the annual PMI charter renewal application.
· Represents the Chapter, or appoints an appropriate alternate to represent the Chapter, at the annual PMI leadership meeting and serves on any subcommittees that may be established to form policy, as appropriate.
· Facilitates status reports for presentation at Board meetings.
· Approves agendas and presides over all business and Chapter meetings.
· Directs the activities of other officers toward Chapter goals and objectives.
· Appoints Nominating Committee members by April 1 of each year to conduct the Chapter Board of Director elections.
· Appoints replacement Board members to vacant positions, subject to the Board’s majority approval.
· Appoints committee and committee chairperson to teams and special projects as needed subject to Board approval.
· Serves as backup if the Vice President of Finance is unavailable.
Vice President of Finance
Eligibility Requirements
Must be an MCAC member in good standing.
Roles and Responsibilities
· Solicits input from Board members for the development of financial goals and objectives for the Chapter.
· Prepares an annual financial plan.
· Collects and disburses all Chapter funds and maintains a detailed financial transaction log to be made available to any Chapter Board member, the PMI Board of Directors, or the PMI upon request.
· Manages all Chapter financial transactions, including:
- Collection of all Chapter dues from the PMI.
- Payment for Chapter meetings or special events.
- Collection of corporate sponsorship fees.
- Payment of all Chapter bills in accordance with Board directives.
· Establishes and maintains all required Chapter bank accounts and/or similar financial transactions.
· Arranges for officer signatures as required, including the PMI International Board of Directors Vice President of Administration if requested.
· Prepares all required IRS tax filings and, once approved by the Board, submits to the appropriate government authorities on time to ensure that all filing deadlines are met to avoid penalties and interest.
· Develops an annual operating budget (for the Chapter Fiscal Year January 1 through December 31) and forwards to the Board for inclusion in the annual applications for PMI charter renewal.
· Prepares and presents monthly financial statements (including balance sheets and statements of account) to the Board and Members conforming to the recommended practices of the American Institute of Certified Public Accountants.
· Maintains permanent financial business files of the Chapter and turns over all documentation to successors.
Vice President of Membership
Eligibility Requirements
Must be an MCAC member in good standing.
Roles and Responsibilities
· Develops and implements a member retention plan.
· Acts as liaison with PMI to obtain and maintain all pertinent membership information.
· Compiles and maintains a current file of the PMI members in the Chapter area of operations.
· Establishes and maintains an active membership drive, including a documented plan, partnering with other Board members to identify membership opportunities.
· Provides membership application forms and PMI information to potential members.
· Maintains a Chapter membership list via the PMI CRS providing periodic membership lists to the Board.
· Sends a welcome letter to all new members including directions on subscribing to Chapter emails.
· Sends a membership renewal reminder letter to members the month before their membership expiration.
· Serves as the Chapter President and assumes presidential responsibilities if the President is temporarily unavailable or cannot complete his or her term of office for any reason.
Vice President of Programs
Eligibility Requirements
Must be an MCAC member in good standing.
Roles and Responsibilities
· Responsible for the development and delivery of project management programs for each scheduled Chapter meeting.
· Responsible for the solicitation of input from Chapter members for program content.
· Periodically polls Chapter members to ensure programs meet member needs and areas of interest.
· Identifies, schedules, and confirms monthly Chapter program speakers.
· Composes descriptive program notices and speaker biographies for publication and use by the Vice Presidents of Communications, Logistics, and Publicity.
· Identifies and communicates speaker equipment needs to the Vice President of Logistics.
· Maintains and provides Board-approved speaker guidelines to all potential speakers.
· Coordinates speakers and topics with the Vice President of Professional Development to ensure alignment and avoid redundancy of program offerings with Professional Development Day.
· Directs the presentation of special seminars, meetings and/or exhibits that the Board deems beneficial.
· Provides input for the annual Chapter reports to the President for PMI Charter renewal.
Vice President of Publicity
Eligibility Requirements
Must be an MCAC member in good standing.
Roles and Responsibilities
· Responsible for the publicity of the Chapter and the PMI through internal and external publications and through partnering with local businesses.
· Develops and distributes press releases to local media and periodicals of Chapter meetings, events, workshops, and seminars.
· Prepares and submits articles on Chapter activities for inclusion in PMI publications.
· Coordinates submissions on Chapter accomplishments for PMI awards.
· Serves as Chapter photographer documenting Chapter events and functions.
· Serves as Managing Editor of the Chapter newsletter section of the website, Maximum Float, providing accurate and timely information.
· Coordinates with the Vice President of Outreach in acknowledging Chapter sponsors via program brochures, website splash, agenda time, etc.
· Coordinates with the Vice President of Communications in co-managing website content.
