Changes to Suppliers providing Agency Workers (temporary Staff)

The University’s existing exclusive contract with Blue Arrow to supply all temporary secretarial, clerical, catering and similar staff will end on 3 January 2013.

1. From 4 January 2013 the following will apply:

Administration, secretarial and clerical staff

Blue Arrow must be used for temporary administration, secretarial, clerical staff, who will be in post from 4th January 2013.

The University has an exclusive contract for these types of agency workers with Blue Arrow following competitive procurement processes.

Catering and Ancillary/Domestic Staff

Reed must be used for temporary Catering and Ancillary/Domestic staff, who will be in post from 4th January 2013.

Information Services/ICT staff

As currently Information Services/ICT staff must be hired using the University’s framework agreement with seven agencies. Information Services Group staff can access information on these agencies through the IS Wiki. All other staff should contact the UHRS Resourcing team:

Other types of staff

For any other types of staff, hiring managers must contact their local HR team. This is to ensure that: appropriate agency/ies are identified; HR can liaise with the agency to ensure that both parties meet their legal obligations; and details of the Agency Workers are gathered for monitoring and collective consultation purposes.

2. Booking Procedures

To book an AW the agency requires a fully completed Agency Worker Request (AWR) Form or the appropriate agency which includes information such as type of work and skills required, exact location, start date and expected duration of booking.

In advance of completing the AWR for the hiring manager should refer to the Job Catalogue for these details.

Please note the new Job Catalogue with appropriate rates from 4 January for both Reed and Blue Arrow will be published on 3 January 2013.

Please note there are differing rates in both Reed and Blue Arrow rates based on 1-12 week and 12 week plus. Also an additional rate in the Reed catalogue where there is additional allowances for working on public Holidays. Please refer to the job catalogue. If using PECOS to access the Blue Arrow or Reed agreement please note that the varying rates are shown in the PECOS catalogue. Please ensure that you select the correct rate.

3. Electronic Purchasing

The University is progressing purchasing through PECOS, eFinancials and Saffron as appropriate for each area and procurement will be advising hiring managers and providing any training as required in due course.

At this time existing booking procedures can remain the same.
