Dear Coach,

On behalf of Spokane Community College Tournament Director, Erin Rudders, welcome to the 2015eastern Washington Science Olympiad Tournament.For the most part, I will be handling coach contacts/providing logistical information. So please contact me with any questions regarding your attendance at the tournament on Saturday, March 7th.

This letter contains important information regarding the tournament. All forms referred to in this letter can be found on the EWU web site:

... Click on the “Team Information” link, then “Registration Packet” to access registration forms/information. If you can’t open something, I can e-mail to you.

Each team has a unique team number assigned when you registered. If you don’t know your number, click on the “Team List” link. Please be sure all your team members know this number and report it when competing in events. Having students use both their team # and name helps identify your team correctly. You will receive team room assignments by check-in on March 7th. NOTE: To save on copying costs, please check the web site regularly prior to coming to the tournament to obtain required info/forms.

There is a checkliston the web site that identifies key actions to be completed by tournament day. A brief description follows. NOTE: The primary document needing your attentionis the Roster-Ethics form. Turn the form in at team check-in.

ROSTER & ETHICS FORM (roster-ethics.doc).This form must be filled out and signed by the coach and school principal (or head of home school organization) in order to register your team. Please bring the completed form to the check-in table at the LAIR on March 7th. This form will be used for scoring purposes, so make sure it is accurate and legible! Be sure your teams do not exceed maximums for 9th graders (B division – 5) and 12th graders (C division – 7).

PHOTOGRAPHY RELEASE (release.doc). Allowsvideo/photographyduring the tournament. Bring the completed form to check-in on March 7th.

SCHEDULE( schedulesshould be considered drafts and are subject to change until finalized on March 6th. Please check the web site regularly for updates. However, the basic schedule should remain as posted. We will let you know by e-mail if any critical changes are made. Please make enough copies for your students/coaches, as these will NOT be included in your check-in packet. Only if something drastic changes will we provide a final schedule at team check-in. A schedule with rooms will be posted ASAP.

Other information:

Sign-up Events. Several events require sign-up to compete. See the schedule for events needing sign-up and times events are scheduled. In an effort to reduce tournament day stress, there will be pre-sign up handled via online event software. Coaches will be advised of process ASAP. In the meantime, prepare to identify time ranges you’d like to schedule your team/s for events (e.g., 9-10AM, 1-2PM, etc.).Note that for Picture This (B) and Protein Modeling (C), there are BLOCK times that teams must sign up – similar to a scheduled rotation, where all teams registered for that block will show up at the top of the hour and may need to stay 50-60 minutes). All teams from the same school MUST register in the same block for these two events.

Campus Map (NOTE:Copies will NOT be in team packets distributed at check-in on March 7th at the LAIR – please make enough copies for your team members and assistant coaches.

Parking. All lot parking is open and free Saturday. Most events will take place near the LAIR and Science Building. See campus map for parking lot locations.

Registration/Check-In.Registration/Team Check-Inbeginsat 7:00 a.m. on Saturday in the LAIR. Please bring your signed, completed Roster-Ethics Form and Photography Release – these must be turned in before we can provide your registration packet.Also, be prepared to provide a cell phone number where we can reach you, as needed, during the tournament.

Teams. Make an attempt to have 15 team members and enter all the events, if possible. Remember that participation points are awarded for attending an event, even if students aren’t totally prepared!

Event Supervisors. The event supervisors (aka “judges”) are volunteers, many of whom have worked with us before. Please be considerate to them and remember they are giving up their time for Science Olympiad. Students should compete as instructed by the judges. If there is a problem with the event, use the arbitration form from the web site to file an appeal. Only coaches may initiate arbitration. Additional appeals forms can be obtained from tournament headquarters (LAIR).

Impound.Severalevents require impounding of a device – see rules manual or schedule for events with impound. Specific impound information will be posted on the Team Announcements page ASAP.

Tournament Headquarters. Tournament headquarters is located in the LAIR.

Dining Services. At this time, the cafeteria will NOT be opened, so students and coaches should bring a sack lunch. There are no restaurants immediately surrounding campus, but there are several within a 5-minute drive.
