Monday to Thursday – 8.30 am – 4.30 pm (30 minute lunch)

Friday 8.30 am – 4.00 pm (30 minute lunch)

Job Purpose:

The Assistant Head of Year (Medical) at CFGS supports the Head of Years 10/11 and manages the Students named on the specific medical needs list. You will be expected to liaise with and support the Heads of Year and SENDCo in ensuring the personal, social and emotional development of students through the consistent and fair implementation of school rules and expectations. The pastoral care system reinforces the importance of good behaviour and personal motivation, under-pinning effective learning for all and maintaining a climate in which students feel secure and are aware of their obligations. Such pastoral care should enable all students to reach their full potential. You will also provide First Aid support and keep an up to date list and records of Students with Medical Needs

Accountabilities of the Post:

To Students

  1. Liaising with the Heads of Year about welfare and behavioural issues and following up decisions made.
  2. Providing an initial contact for students to bring allegations of bullying etc. and for the taking of written statements for subsequent overview by Head of Year.
  3. Managing the process of Stage 1 and 2 students on report via liaison with Tutors, Heads of Department and the relevant Head of Year.
  4. Monitoring students on Stage 2 reports (past Tutor level) – to include agreeing weekly targets with the students concerned.
  5. Organising the collation of work set for students absent due to medium/long-term illness and arranging for it to reach the student concerned via email, a fellow student or collection by parents (in conjunction with the SENDCo if appropriate)
  6. Managing the process of Student Planner checking (via Tutors) once a month in order to support effective personal organisation by students.
  7. Undertaking a termly sampling of Student Planners in order to monitor the setting of homework according to the homework timetable.
  8. Maintaining and updating the Year Notice Boards (via student representatives) and each Year Group’s section of the school website (via website manager).
  9. Scheduling, attending and minuting Year Council meetings (to be chaired by students in rotation) and other meetings as and when required.
  10. Promoting the school’s Commendation system for students within the Year Groups.
  11. Commending students for high standards of work, effort and behaviour, in liaison with the appropriate Head of Year and Tutors.
  12. Revising and updating the Student Planner each year, in consultation with the appropriate Head of Year, Tutors and students.
  13. Providing First Aid for students.

To Staff

  1. Providing clerical/administrative support to the Heads of Year, including maintaining/updating student files in the relevant Year Groups.
  2. Ensuring that the role of the Tutor is promoted as the key member of the pastoral team.
  3. Assisting the relevant Head of Year in ensuring that the Year Groups develop a positive ethos, reflecting the wider aims of the school.
  4. To initiate round-robin reports on students following reported concerns across a range of subject areas – in liaison with the Heads of Year and Tutor.
  5. Attending (and minuting, where appropriate) Pastoral meetings and other relevant meetings.
  6. Ensuring that 1:1 interviews between Tutors and their Tutees take place once each year, to be included in the School Calendar to minimise disruption to other staff.
  7. Ensuring that staff are kept up to date with any medical information regarding students

To Parents

  1. Being the second point of contact (after the Tutor) for parents, for example relating to alleged cases of bullying, long-term illness etc.
  2. Managing the process of Student Planner checking (via Tutors) once a month in order to support effective home-school communication.
  3. Communicating with parents during the hours of the working day regarding organisational, behavioural or attendance concerns, in liaison with the relevant Tutor and Head of Year.
  4. Organising and coordinating Parents’ Meetings for the Year Groups – in liaison with the relevant Heads of Year.
  5. Reinforcing the principle of parental involvement in their child’s learning.
  6. Communicating with parents to ensure the Students with Medical Needs list is accurate and up-to-date

Supporting the Head of Year in monitoring the progress of the Year Groups

  1. Evaluating the quality of reports for students in the Year Groups – in liaison with the appropriate Head of Year – to include the sampling/checking of Tutor reports.
  2. Initial analysis of individual Interim Report grades in advance of follow-up by appropriate Head of Year.
  3. Analysing internal examination data – in liaison with the appropriate Head of Year.
  4. Monitoring appropriate personal target-setting in Student Planners (termly) in Tutor time (set by students & led by Tutors).

Organising extended learning in liaison with the appropriate Head of Year

  1. Coordinating and contributing to at least one drop-a-day per Year Group per annum.
  2. Assisting with monitoring the extent of extra-curricular provision for each Year Group.

Working with Support Staff, external agencies and Peer Supporters

  1. Implementing behaviour strategies and intervention procedures to ensure a positive learning environment for all.
  2. Liaising with the SENDCo and the relevant Head of Year regarding students on the SEND list.
  3. Liaising with the Attendance Officer regarding attendance issues in the Year Groups and following-up such concerns as necessary with parents and/or outside agencies. Keeping the relevant Head of Year informed of such cases.
  4. Liaising with outside agencies regarding individual support relating to academic issues, in consultation with the SENDCo, Head of Year, Tutor and students’ parents.
  5. Working with other members of the Pastoral Support team in developing Individual Learning Plans for students.
  6. Ensuring that the skills of student Listeners, are effectively employed in supporting staff and fellow students.

Additional duties to post of Assistant Head of Year (Medical)

  1. Medical officer adminstering first aid, maintaining accurate records and following procedures relating to first aid
  2. Liaise with School Nurse on relevant matters and organise immunisation/vaccination programmes
  3. Maintaining and communicating an up to date Students with Medical Needs Register
  4. Acting as the designated support member of staff for students named on the Medical Needs Register

Additional Duties to post of Assistant Head of Year (General)

  1. Health and safety responsiblities related to the position
  2. Student Services reception – handling/delivering messages from parents/staff
  3. Word processing for Heads of Year
  4. Word processing for the School Counsellor and assisting with students when required
  5. Moodle adminstration
  6. Minute: meetings when required
  7. Maintaining estranged parents listings and ensuring copies of relevant information sent
