OVYSL Board Meeting Minutes
2014 August Meeting

The meeting was called to order at 7:37 PM. - Review of July2014 Meeting Minutes
Theprior month’s meeting minutes were reviewed. Motion to accept made by Ernestina Moitoso, with a second byRoney Cardoza. All approved. - League Administration
A. District II Update
Lisa Schmidt, President, shared that additional field space is being explored in the South County, including the prior space that was being considered. Additional locations are being evaluated.
B. Water Project
Lisa Schmidt, President, shared that the final steps are in motion to complete the implementation for the water project at the MHOSC.
C. Guest Request
Jennifer Salzwedel (Guest) attended the August Board meeting representing the U16 Competitive Girls team, Rampage. They are requesting the OV BOD to consider full scholarships. Jennifer stated that other leagues offer scholarships in excess of the amount OV provides. They are looking for alternate ways to raise funds to cover additional tournament expenses, new uniforms, etc… on average they participate in ten tournaments per season. Options were suggested where Rampage could consider volunteering to help younger age groups, host a clinic during school breaks for younger age groups, sell snacks at picture day, etc… Lisa shared that OV’s registration fees were $215, whereas other leagues charge up to $1,000+. Jennifer will share with Rampage the suggestions made during the meeting for opportunities for the team to raise funds.
D. Picture Day
Wendy Sullivan, Picture Day Coordinator, confirmed that picture day is scheduled for Sunday October 5, and the make-up day will be Saturday November 1. We need to confirm our preferred location for this event, specifically the Complex. Lisa Schmidt, President, will review the request with the MHOSC staff. Photo packages are available and will be distributed to teams in advance. Medals will be offered for pick up as well.
E. Marshall Update
OVYSL is investigating an incident that an OVField Marshall experienced at Kirigan winery weekend of August 16-17, 2014 during scrimmage play, where inappropriate comments were made to her by players involved in the scrimmage. The Field Marshall and Coaches involved were interviewed by the BOD to learn details of the event, and corrective action will be taken.
F. Uniform Update
Uniform Director, Shelly Canario shared that our provider, Asby’s, has completed the first round of uniform orders, and has ordered additional supplies available in store. Shelly and Roney are working with Asby’s to create an OV store.
G. Computer Update
Cathy Randall, Registrar, has requested a new computer for the Registrar position. Estimated expense between $700-$1,000. Motion to approve request to purchase computer for Registrar was approved by all.
H. Donation Policy Update
The donation policy was discussed by the Board with regards to process and amount limits. Suzanne Ledesma inquired about the current $1,000 limit as referenced by the policy, as a donation was received in excess of this amount. The BOD evaluated that this limit can be increased. Joel Middleton, VP, will work with Caroline Hamilton, Policy Director, to edit the policy to clarify the process to receive OVYSL’s tax ID.
I. Financial Update
Debbie Fisher, Treasurer, shared that as a result of the new registration system, that credit payments are not being remitted timely back to the league. Debbie Fisher, Treasurer, to coordinate with Cathy Randall, Registrar, for a status on the online payments. - Participant Administration
A. Coach Verifications
Joel Middleton, VP, confirmed that all new coaches for Fall 2014 will require to be scanned. Greg Smart, Risk Director, has audited the coaches listing against those who have been background checked, and scanned and is following up with those who have not completed the process.
B. Field Update
Lisa Schmidt, President, shared that upon striping the fields that many of them are dry and we may receive complaints from players and parents. The league will be sending an email to all players with an update on field status.
C. TOPS Soccer
TOP soccer has been assigned to PA Walsh for fields. The flyers that Teri Larise, TOPS Soccer Rep., prepared were sent to all OVYSL registrants. Teri will work with Morgan Hill Unified School District. - The meeting adjourned at 9:16 PM.
