Meeting Topics
Topic / Notes / ToDo’sMerger /
- Briefly discussed that the town was requiring the Girls Division to incorporate and why it made sense to merge with the Boys Division.
Open Board Positions /
- John announced that President, Treasurer, Boys & Girls Positions were up for election.
- Identify interested parties.
Registration Fees /
- Girls: $175, doesn’t include shooting shirt. Boys: $235, including shooting shirt. Fees will remain different for the two divisions this year.
- Fundraising Meeting – Girls have done Yankee Candle in addition to bus trip for banquet expenses, etc.
Uniforms /
- Discussed differences in uniforms
- Rob B. and Mickey to coordinate order for two divisions.
Tryout Dates /
- Girls 9/23-9/26 5:30-7:30pm
- 5th & 6th grade on the 23rd & 25th
- 7th & 8th grade on 24th & 26th
- Mickey will coordinate; it was discussed that coaches from both divisions will help each other with the tryouts.
- Jennifer Walker and Mike Johnson to coordinate on-line registration
- John B. to work on combined flyer for Boys & Girls Tryout Flyers
- Jennifer W. and Eyvonne to work on Press Release of mergers of two leagues.
- Billy to attend town scheduling meeting for league.
- Boys dates TBD
Referees /
- Discussed using Troy again, agreed. However Jen requested referees be switched out halfway between games of that day as they’re tired and not as effective.
Coach Selection /
- John B. advised ads were requested in both Town Crier and Rare Reminder for coaches to apply.
- Discussed process: One selection committee forming for both divisions. Town coordinators leading committee (Mike & Jen)
- Girls Division Interview Date(s): 9/9/13 & 9/10/13. Time and location TBD
- Firm committee members (coaches)
- Conduct interviews for Girls
- Set interview dates for Boys applicants
Insurance /
- Discussed whether or not Girls division needed insurance or if they were covered by the league they were in. Determined it would be best to secure it for games/scrimmages held outside of the league.
- Secure insurance or girls division
Bus Trip Fundraiser /
- Discussed combining efforts
- Tentatively picked 11/2/13 or 11/16/13 as Dates
- Billy D. to lead our efforts here
- Pick date based on league schedules
By-Laws /
- Discussed changes needed to incorporate Girls divisions.
- Tim K. to make said changes and board would ratify on-line.
4th Grade Team /
- Discussed and agreed to provide encouragement and oversight for this team
- Coach needed. Mike B reaching out to Kevin Welch
Grievance /
- Discussed at great lengths concerns raised by Jay Valdez and grievance process
- Determined that league failed to conduct survey at the end of season as stated in by-laws
- Meeting ended with issue largely unresolved, but general consensus is that we need to address this as a board, but proper grievance processes should be followed.
