VP / Secretary’s Report

  • October minutes distributed and posted on Website
  • Charter requires distribution of minutes to all members – make best efforts for time being until communication issues resolved
  • Work with Allison to link minutes to Newsletter

Treasurer’s Report

  • Updated budget distributed
  • Issued check to Daniel for Assabet Valley Tree

Membership

  • Dottie provided update of membership
  • 84 paid members (16 new members this year)
  • 3 members indicated they do not want to renew
  • 37 members have not paid this year’s dues
  • Two reminders were sent to request payment of dues (last one sent early September)

Communications

  • Nothing to report (see new business for proposal regarding communications)

Programs

  • Calendar of events mailed out to members
  • Fruit and Dessert Night October 26 - Need host by October 12 or event will be cancelled
  • Corrections on some event dates listed on the calendar:
  • February 2013 events scheduled for Friday February 9 and Tuesday February 26
  • June 2013 event scheduled for Saturday June 22

Hospitality

  • Committee not available for Maplebrook Park Clean Up
  • Daniel will take care of hospitality for MBP Clean Up

Buckets and Planters

  • A reminder was sent to Bucket hosts to submit receipts for reimbursement
  • Barbara will coordinate with DPW to get buckets collected by end of October

Maintenance

  • Tree of Heaven – Working with Assabet to set date for removal of trees
  • Maplebrook Park Clean Up - Evite sent out
  • Alleyway Garden (btw Old CVS and Outdoor Store) - Ivy needs trimming! Volunteers wanted - bring a big trash bag….
  • Bobbie Dedication - Loretta continuing to work on plaque; suggestions on wording welcome; Daniel will send copy of obituary to Loretta for help with ideas
  • Welcome Sign on Rte 62 Action/Maynard Town line
  • DPW cleaned up vegetation and brush in area
  • Maynard Board of Selectmen were contacted about relocating the adjacent commercial sign
  • Lee will take a look to at the site to determine the next steps to complete clean up of the site

Plant Sale

  • Joan said it was a very rewarding experience to lead the Plant Sale
  • Volunteersare needed to start organizing for the next sale (Joan still wants to be involved and will certainly help out)
  • Joan distributed a flow chart of what it takes -identifies tasks, timing and roles and responsibilities. The flow chart has been posted on the web site.

Newsletter

  • Articles are needed for the Newsletter
  • Deadline for Articles is Saturday October 13th

Community Activities

  • Nothing to report

New Business

  • Communications Coordinator
  • Programs Committee suggested creating a hired position
  • Members expressed a lot of support for this proposal
  • Subcommittee formed (Daniel, Laura H, Allison) to prepare a formal proposal for November Planning Meeting
  • Elections
  • Nominations still needed for some positions. Current Nominations:

  • Members – Open (may be covered by proposed Communications Coordinator)

  • Daniel attended committee meeting on Wednesday night
  • Community Gardens is under consideration
  • Reuse Committee does not have a budget – this limits their ability to solicit input
    (Community Life Center Committee has a budget – this allowed them to mail out a survey to all residents)
  • Daniel proposed MCG make a contribution to help out this Committee
  • Members requested Daniel follow up to get some more details
  • Can we restrict funds to this committee only?
  • What is the process of making a donation?
  • Amount of contribution? MCG would consider $500

Next Meeting

  • November 1at 7:00 PM, Maynard Public Library, Cullen Conference Room
  • All members are welcome
