Tips for Assessing a ClientÕs Tech-Based Training Needs
The Assessment Period described here is a five-step process for identifying and evaluating the training plans, organizational structure, audience requirements, technology issues, system functions, and content relationships for a prospective client. The process is designed to help both client and vendor fully understand all the variables related to a project prior to its implementation.
Step 1: Define Project Scope
Challenge: Large and small projects alike can get blown off track without careful planning. The first step in the Assessment Period is to conduct a discovery session to help define objectives, identify internal and external constraints, and determine measurable success factors. It is important from the outset to understand the parameters of the project, including client expectations, budget limitations, timelines, and overall objectives. In defining project scope, it is helpful to examine:
Budgetary constraints
Functional requirements
Internal infrastructure
Business goals
Success metrics
Schedule
Recommendations: In establishing a projectÕs scope, it is often helpful to take a birdÕs-eye view of the overall design and implementation plans. We recommend looking at fees and third-party costs, as well as deliverables, suggested development phases, and the schedule for the complete deployment of the training solution. This analysis should also consider future development plans and alternative growth strategies that will map the evolution of the project. Outlining the projectÕs scope will provide a platform for achieving an optimal balance between cost, speed, comprehensiveness, quality, and risk mitigation. Additionally, the costs of other nondevelopmental or outsourced activities involved with future project development will be reduced as a result of this initial strategy.
Step 2: Gap Analysis
Challenge: Implementing and managing technology-based training solutions is a two-way street. It requires an investment of time, knowledge, and energy from different areas of a corporation. Understanding the companyÕs knowledge base and the available resources is a critical step in implementing the right type of solution. There are several ingredients that need to be measured internally to ensure success, including intangible yet vitally important components such as:
Number of personnel devoted to the project
Technical savvy of key personnel
Enthusiasm and passion for the project
Corporate decision-making procedures
