MINUTES OF THE ANNUAL GENERAL MEETING

Held in the Dove Room, Mid-Suffolk District Council Offices, Needham Market, Suffolk

1Minutes of the AGM meeting held on 28 February 2014, were approved and signed as a true record.

2Matters arising: The £750 mentioned in the Treasurer's report has now been received.

Terry Back gave some amendments to the Fixtures that had been circulated with the AGM minutes:

The Woodbridge 10k is part of the Suffolk Grand Prix

JAFFA 5 is also part of the Suffolk Grand Prix

Hadleigh 10 is not part of the Suffolk Grand Prix

Turkey Trot is part of the Suffolk Grand Prix

Bury 5 is on 26 June 2015 and not 19 June 2015

4.Hon Secretary’s Report: There was no report as the Association does not have an Hon Secretary.

  1. Hon Treasurer’s Report: This had been circulated together with the balance sheet. TC reported that one item shown in the accounts as being in the No 1 Account should be in the No 2 Account. The No 1 account stands at £9847.45p and has been audited. The No 1 account stands at £4539.79 and has not been audited. The No 1 Account shows a trading loss of just under £1000 but radios had been bought for £3000 (which is a one-off) so it is not as bad as it looks.

6.Reports from Assistant Secretaries:

Road Running Report: This was circulated with the minutes and Terry Back had nothing further to add.

The report was proposed by Karin Mead and seconded by Ian Gooderham.

Track and Field: This was circulated with the minutes and TC had nothing further to add.

The report was proposed by Mike Oakley and seconded by Jean Cox.

Officials: This was circulated with the minutes. Mike Oakley informed the meeting that the course on 8 March will be a Field course as they are the only applicants.

Joe Mower reported on the Endurance side that 2014 has seen a few changes and we have now 46 Officials who are on the active list and 41 on the Non active list and the reason being, their DBS's have run out and NOT re-applied or not sent their one to UKA to it registered. As from 1 March 2015 UKA will make officials non active if their DBS is 6 months in arrears.

In October 2015, Officials who have not done the risk assessment course will also become non active and at the moment there are only 24 of the active Officials with this and on the non active list there are 5 who have done the risk assessment course.

From these figures it can be seen that the County Association is getting less Officials and also they are all getting older. So please encourage some younger ones to come along and get traded.

Sportshall/Coaching: Terry McEntee handed out his report for both these sections.

The cost of the coach for the Sportshall athletics was queried as to how this is funded.

Athletes and parents pay the same as those who are selected for the County for cross country and Track & Field, plus any surplus made from the Sportshall events.

7.Reports from Delegates:

CAU: Joe Mower reported that the CAU championships are at Cofton Park on 7 March and there is a full Suffolk Squad. The Track & Field championships are on the 2/3 August please not new date. Their AGM is 1 August 2015.

Eastern AA: The Hibberd Trophy meeting is on 6 September 2015 at Ipswich. The Track & Field championships are at Cambridge on 27 June 2015.

  1. Recommendation from the Treasurer that the Annual Fee for Club subscription should be increased to £50.

This was agreed by all those present.
