Overview of Leviticus

The Leviticus 25:23 Alternative Fund, Inc. (Leviticus) is a not-for-profit loan fund motivated by faith that offers investors a sociallyresponsive means to serve low-income neighborhoods. Leviticus provides flexible capital as predevelopment, acquisition, construction, bridge, mini-perm or working capital loans primarily to nonprofit organizations working in New York, New Jersey, Connecticut and parts of the five adjacent states. These organizations create and preserve affordable housing, special needs and emergency housing, child-care centers for children of low-income families, community health centers, and other community facilities that improve communities and the lives of their low-income residents.

Position Summary

The Office Manager/Bookkeeperwill have a broad range of general administrative responsibilities providing support to the Leviticus Fund staff and to overall office operations. The position requires independent initiative, a highly organized approach, and effective communication skills and an ability to handle a range of tasks related to office administration and bookkeeping.

Reports to: Finance Director

Status:Part-Time (approximately 24 hours per week initially; FLSA Non-Exempt)

The position has the potential to expand in hours and responsibility as Leviticus grows.

Related Duties and Responsibilities

The Office Manager/Bookkeeper will be responsible for a range of duties, including the following:

  • Greeting office visitors and managing calls to general line and emails to general address.
  • Managing office supplies and supply orders.
  • Making travel and lodging arrangements for Executive Director.
  • Entering Executive Director’s contact information into Microsoft Office.
  • Assisting staff in document scans, mailings, file set-up and maintenance.
  • Coordinating quarterly bulk mailing and taking lead in preparing materials for mailing.
  • Organizing arrangements for quarterly Board and committee meetings, including polling members for availability, distribution of meeting materials and food ordering.
  • Assist in the preparation of the annual Membership meeting including preparing and distributing meeting materials and providing set-up and breakdown.
  • Taking minutes during staff and committee meetings.
  • Organizing annual member meeting, and managing member meeting communications, and communications with members, associate investors and board members.
  • Maintaining contact information on databases and Leviticus’ new CRM system related to borrowers, lenders, donors and other industry organizations.
  • Recording and processing checks in incoming mail, and serving as backup for check deposits.
  • Entering invoices and cash receipts in investment/loan module and Sage 300 accounting software.
  • Maintaining maturity schedule of investments and renewals. Generating investment acknowledgment and thank you letters.
  • Assisting with monthly invoice mailing to borrowers, reporting to investors, and responding to audit confirm requests.
  • Providing monthly reports to staff regarding data in income and expense accounts balances.
  • Review of general voice mailbox and info email accounts and forwarding information to appropriate staff.
  • Other duties as assigned.

Qualifications

Education

  • Minimum of an Associate’s Degree in accounting, business, finance, public administration or a related field of study, is required.

Work Experience

  • At least five years of experienceworking in a professional, office setting as an office administrator, office manager or administrative assistant preferred. Having worked for a nonprofit corporation, a bank, or a real estate development firm is a plus.

Skills

  • Ability to independently track and carry out responsibilities, and independently meet deadlines (once job duties are fully understood and mastered), is highly preferred.
  • Excellent organizational skills, with outstanding attention to detail and the ability to work on and complete multiple tasks in one day.
  • Pleasantnature with personable, cooperative attitude, a good sense of humor, and an ability to work with a variety of personalities in a team setting.
  • Excellent interpersonal and verbal communication skills.
  • Openness and flexibility to learn new skills and systems.
  • Proficient in Microsoft Office software programs.
  • Aptitude with use of accounting software (preferably Sage 300) and experience with loan management and servicing database software a plus.
  • A solid understanding of bookkeeping and accounting, preferably gained within a lending or real estate development setting, is a plus.
