Functional Area: Personnel Administration / Process Extension of Leave
Purpose
Use this procedure to extend the length of time that an employee needs to be on leave.
Trigger
Perform this procedure when an employee needs to extend the time that they will be absent.
Prerequisites
A medical/sick or disability leave requires a physician’s statement. Academic, Professional and Special leaves require Provostal approval.
Menu Path
Use the following menu path to begin this transaction:
  • Select Human ResourcesPersonnel ManagementAdministrationHR Master DataMaintain to go to the Maintain HR Master Data (UC Basic Personnel Data tab) screen.

Business Process Information
This action is performed when an employee on leave, either with or without pay, needs to extend their leave.
Helpful Hints
  • The R/O/C column in the field description tables below defines whether the field is required (R), optional (O), or conditional (C).
  • On certain screens you may have to scroll to view some data entry fields.

Procedure
1. / Start the transaction using the menu path or transaction code.
Maintain HR Master Data (UC Basic Personnel Data tab)

2. / As required, complete/review the following fields:
Field / R/O/C / Description
Person ID / Required / Unique Employee Identification number
Example:
10000113
3. / Click .

4. / Perform one of the following:
If The / Then
Pers.Assgn field is white (open for input) / 1. Click the drop-down icon to view the employee’s personnel assignments.
2. Select the personnel assignment to be processed.
Pers.Assgn field is grayed out (display only) / --
/ The employee’s information is now displayed on the screen. Infotypes created for the employee have a displayed to the right of the Infotype text field.
/ You can click the Personnel Assignment Overviewicon to display all of the personnel assignments associated with this employee.
5. / Perform one of the following:
If You / Go To
Know the infotype number or name / Step 6
Do not know the infotype number or name / Step 8
6. / As required, complete/review the following fields:
Field / R/O/C / Description
Infotype / Required / Screen(s) in SAP HR that store HR data; Identified by a name and four-digit number
Example:
0000
You can also enter the infotype name (Actions).
7. / Go to Step 9.
8. / Click to the left of Actions.
9. / Click .
Display Actions (0000)

10. / Review the displayed information.
/ By checking Infotype 0000 (Display Actions) you will be able to check that the employee is on leave. It can either be FMLA, Leave of Absence with Pay, or Leave of Absence without Pay for the Action type. The Reason for Action will show the actual type of leave that the person in on.
11. / Click .

12. / Perform one of the following:

Do not know the infotype number or name / Step 15
13. / As required, complete/review the following fields:
Field / R/O/C / Description
Infotype / Required / Screen(s) in SAP HR that store HR data; Identified by a name and four-digit number
Example:
0019
You can also enter the infotype name (Monitoring of Tasks).
14. / Go to Step 17.
15. / Click the tab.

16. / Click to the left of Monitoring of Tasks.
17. / Click .
/ Do not use the change icon to make updates to the record. Change history must be maintained.
Create Monitoring of Tasks (0019)

18. / As required, complete/review the following fields:
Field / R/O/C / Description
Task Type / Required / Selection of the appropriate task that wil be relevant for the employee
Example:
LOA Return Date
Date of Task / Required / Date on which the task occurs for a specific task type
Example:
05/01/2006
Processing indicator / Required / Indicates status of the task type, whether it is a new task or completed
Example:
New task
The information in this field should automatically default.
19. / Click .
Create Monitoring of Tasks (0019) (2)

20. / Click .
/ The system displays the message, “This entry deletes a record.”
/ The Reminder Date field is automatically populated.
Create Monitoring of Tasks (0019) (3)

21. / Click .
/ The system displays the message, “Save your entries.”
Maintain HR Master Data (UC Planning Data tab) (2)

22. / Click until you return to the SAP Easy Access screen.
/ The system displays the message, “Record created.”
23. / You have completed this transaction.
