Exhibitor Notes:

  1. Exhibit hall is to be used exclusively for vendor interaction and publicity
  2. Space will be allocated as a 6’ draped table which will accommodate a TABLETOP exhibit. Please do not bring a freestanding (10’) exhibit.TABLETOP EXHIBITS ONLY.
  3. Due to space restrictions, there will be a limit of 1 table per Vendor.
  4. ISM venue requires business casual attire or Company attire
  5. Meal tables are in adjacent dining area
  6. Please contact HotelAristaReservations directly at (630) 579-7834 for room reservations and reference our Group name“Illinois Society for Microbiology”. We have negotiated group room rates at $139.00 per night single or double occupancy. Reservations must be received by April25th, 2016 and prices are guaranteed for a limited number of rooms each night.

Terms and Conditions for Exhibitors:

  1. Responsibility: Vendors are solely responsible for their exhibit material and its arrival and return. Ideally, tabletop exhibits and material should be shipped directly to your representative for them to hand carry to the meeting. The club is closed on Mondays, therefore no advance shipments will be allowed.
  2. Liability: Venue personnel will be on duty, but the exhibit hall will not be completely locked after exhibits close for the day. ISM will assume no responsibility or liability for the loss, theft, damage or destruction of goods, or for any injury to representative while the meeting is setup, in progress or taken down. The exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of exhibitor’s activities on the venue premises and will indemnify, defend and hold harmless the venue—White Eagle Golf Club, it’s owners and it’s management company, as well as their agents, servants, and employees from any and all such losses, damages and claims.
  3. Cancellation or Withdrawal: Exhibitors shall give written notice of cancellation. If written notice is received byApril 22nd,total money less a cancellation fee of $50.00 cancellation fee will be refunded. No refunds will be allowed for any cancellations after April 22nd, 2016.
  4. Hazardous Waste: ISM will not be responsible for disposal of any hazardous waste or suspected hazardous waste. Please dispose of material properly; or you will be required to pay disposal fees, fines, and/or surcharges incurred by ISM or the White Eagle Golf Club
  5. NO Advance Shipment of Exhibits: The White Eagle Golf Club will not accept advance shipments as the club is closed on Mondays.Your items must be shipped out by 2 days after the meeting. The White Eagle Golf Club may charge per day for storage beyond these time frames. Do not send freestanding exhibits, as only tabletop displays will be allowed due to space restrictions. Instruments will be allowed, but they must fit on the 6 feet table provided. Vendors are solely responsible for the arrival and return of all instruments used. Ideally, tabletop exhibits and materials should be shipped directly to your representative for them to hand carry to the meeting.
  6. Parking: Parking is limited at the White Eagle Golf Club; therefore the use of exhibit buses motor homes is prohibited.
