Job Description: Events Manager

Primary Purpose
Toplan, organise manage and ensure successful and timely delivery of Springboard’s portfolio of Events including large scale fundraising dinners, awards ceremonies, receptions, fund raising challenges, exhibitions stands and smaller events, so that they run smoothly, within budget, exceed fund raising targets and maximise PR and manage the Events team accordingly. To communicate internally to ensure all staff are kept fully up to date on activity and progress and to develop productive and strategic relationships with external suppliers and providers to ensure the most effective delivery of the above events.
Principal Accountabilities
Event Management, Delivery and Review
- Develop robust event planning procedures for consistent delivery of high quality events and activities.
- Produce appropriate planning schedules for effective management and delivery of all events and activities, on time and on budget.
- Develop a marketing plan (in conjunction with MCPR Director) for individual events using marketing sources such as social media, website, e-shots, mailings, and newsletters
- Liaise and communicate with all event sponsors and contributors throughout the planning and delivery stages of the above events to ensure all commitments are honoured
- Work with the Business Development and Marketing PR & Communications teams to maximise the funds raised through each event through ticket sales, entry fees, securing in kind support and prizes to maximise income through prize draws and auctions, utilising appropriate technology
- Ensure that all fundraising activities are in line with the mission, vision and values of the organisation
- Perform a comprehensive review of each event to evaluate the success of the event, assess whether targeted outcomes were achieved (both internal and external) and identify improvements for the future
- Monitor and feedback competitor activity in the area and ensure Springboard is ahead of the game in developing the events portfolio
- Develop, inspire, motivate and manage the Events Co-ordinatorand allocate tasks accordingly
- Nurture relationships with other internal departments and colleagues to ensure their collaboration and support for events
- To work with the Business Development Director to manageevent income and expenditure targetsand associated budget
- Liaise on a regular basis with the key internal relations (see above) to ensure progress continues to meet the needs of the organisation
External Relationship Building
- Develop, where appropriate, strategic relationships with external suppliers and industry providers to deliver mutual benefits.
- Develop and maintain productive relationships with event sponsors and industry contributors to ensure their needs are understood and opportunities to meet those needs within Springboard’s events are fully exploited.
- Communicate effectively with all sponsors and industry partners to keep all interested parties fully up to date on progress against commitments.
Internal Communication and Reporting
- Liaise on a regular basis with the key internal relations (see above) to ensure progress continues to meet the needs of the organisation
