ViconNet Training – Implementation Procedures for Regional Events

As we now charge a fee for ViconNet training, Regional Sales Managers are encouraged to schedule classes in their territories as needed. Vicon has 14 portable workstations available for regional training events, so maximum class size is 28.

This document explains how all requests must be handled. Please review it carefully and keep it for future reference. Remember, there are many people involved in making these events a success. Failure to comply with these procedures may result in miscommunication . . . or far worse!

THESE STEPS PERTAIN TO ALL CLASSES

1)RSMs, in coordination with their Sales Director, should identify whether there is a need for training within their territory. Training may be either in the form of an “open” class, designed for both dealers and end-users, or a site-specific training designed specifically for one customer (dealer or end-user).

2)Prior to contacting MichelleSepanski to make a formal request for training, RSMs should identify the location for the proposed event. Anixter facilities, when suitable, are the preferred venue for open training courses. Anixter has agreed to provide Vicon with free use of their facilities for such events. If an Anixter facility is not available or not large enough, the RSM should investigate local business hotels as possible venues and be prepared to provide Michelle with hotel contact information and room rental fees when making his request. Also, if the training venue cannot accommodate up to 28 participants, the RSM should specify the maximum class size when requesting training dates.

3)RSMs or Sales Directors should contact Michelle Sepanski with requests for training. Be prepared to provide several possible dates or a window of several weeks during which training may be scheduled. Please note that a two week period must exist between all regional training events to allow time for shipping of equipment between locations.

4)Michelle Sepanski will contact Neer Kleinman to discuss his availability for the desired dates. If Neer is available, a date for training will be assigned.Note that the RSM or Sales Director will be required on-site the afternoon prior to the event to assist with set-up. He will also be required to assist with tear-down on the afternoon of the last day of class.

5)Michelle will notify the following individuals that a training event has been scheduled: Bret McGowan, Cindy Schneider, Christine Stone, Kenny Rohan, the RSM and Sales Director.

6)The RSM will communicate directly with Kenny Rohan with instructions for shipping equipment to the site. In some cases, equipment may be shipping from training site to training site, rather than from Headquarters.

OPEN CLASSES

1)The fee for these classes is $200/per person plus travel & hotel accommodations.

2)RSMs will provide Christine Stone with the name and location of a reasonably-priced business-class hotel near the training site that she can recommend to customers when contacting them for payment.

3)Michelle will post “open” classes as soon as they are scheduled. During the first two weeks after posting, 75% of available class space will be reserved for exclusively for customers within the coordinating RSM’s territory. 25% of space will be open to all customers. After two weeks, all seating will be available on a first-come basis. All registrations, including those from customers within the coordinating RSM’s territory, should occur via the website. If RSMs are taking registration requests directly from customers, they are then responsible for entering the customer’s data immediately into the online registration form. This ensures that Christine Stone always has access to a current list of all registrants and can see the date that they registered.

4)Christine Stone will follow up with all customers who have registered online, collecting payment information and confirming placement in the class. If registrations from customers outside the coordinating RSM’s territory exceed the allotted 25% during the restricted two-week period when a class is first posted, these registrants will be put on a wait list until the two week period has ended.

5)Cindy Schneider will order food for the event.

6)Prior to the event, Christine will send out periodic email updates to Michelle, Cindy, the RSM and Sales Director with a list of all registrants to date and their payment status.

7)Christine Stone will send to the site address class sign-in sheets, training CDs, and exams.

8)After class completion, RSM’s must mail completed sign-in sheets and exams to Christine Stone for issuance of certificates.

ONSITE, CUSTOMER-SPECIFICCLASSES

1)Site-specific training for customers is $2800/day, regardless of the number of attendees. This charge is applied for each day required for travel/set-up and for actual training. It is assumed that Neer and the RSM will travel home on the evening of the last day of training, following
tear-down.In addition, customers are responsible for the cost of shipping training equipment to and from the site, which will be billed as a flat $1000 charge. Order this as VN-FREIGHT (product code: 9617-25).

2)RSMs will submit to Inside Sales a customer purchase order to cover the cost of the event.

3)As soon as a training date is booked, RSMs should contact Neer to discuss the specific topics for the training event. In some cases, the class may follow the standard, 2-day ViconNet training curriculum, but it is also possible to customize class content based upon the customer’s needs. In some cases, the customer may require only one day of training, focusing on specific issues.

4)These classes will not be posted on the website. RSMs will provide Kenny, Christine, and Cindy with an estimate of the number of participants so that Kenny can ship appropriate equipment, Christine can send sign-in sheets, training CDs, and exams as applicable, and Cindy can order the right amount of food.RSMs should provide Kenny, Christine, and Cindy with a contact at the customer’s site with whom they can coordinate. For classes requiring attendee certificates after class completion, advance provide Christine Stone with each attendee’s first name, last name, company name, and mailing address.

5)After class completion, RSM’s must mail completed sign-in sheets and exams to Christine Stone for issuance of certificates.
