Getting to Know CaseWestern ReserveUniversity

CaseWestern ReserveUniversity is a leader amount independent research Universities in the United States offering world class academic programs. The university is located in the culturally vibrant University Circle neighborhood. It sits on a 550 acre park like concentration at the eastern edge of the city of Cleveland.

The university origins date back to 1826. Case Western Reserve’s enrollment and resources are distributed among undergraduate, graduate and professional programs that encompass the arts and sciences, dental medicine, engineering, law, management, medicine, nursing, and social work.

Parking and Check-In / Badge

To ensure punctuality, please allow at least 15 minutes to park and walk to your assigned work location on a daily basis. You will be paid for the hours you work but not the time it takes to get to your assigned work location.

Parking:All Kelly Services employees assigned to Case are eligible to obtain a parking permit for the lot of their choice based on availability. All permits are issued a first come first served basis and can per purchased monthly from Access Services. Access Services is located on the ground level of Crawford Hall. There are several lots located on campus, the price varies by lot. Standard Parking provides free shuttle buses from designated areas on campus to central drop-off points. If your assignment were to end there is no reimbursement for the purchased parking permit.

Badge: All employees working on assignment at CaseWestern ReserveUniversity must obtain an ID badge. The cost of the badge is $25.00. You can purchase it in Access Services, which is located on the ground level of Crawford Hall. Please make sure to have your ID with you everyday. Please wear your badge whenever you are on CaseWesternReserveUniversity’s premises and have it available for review. Thebadge is foryour use only. Do not lend your badge to anyone or use it to provide access to anyone. If you lose or damage your badge you will be responsible to replace the badge and charged the $25 cost.

Attendance and Punctuality

As a responsible employee, you are a vital part of the Kelly team and should be conscientious about your attendance and punctuality. We count on you to be at work on time and on a regular basis, and to carry out the responsibilities of your job. Getting the work done depends on everyone being in the right place at the right time. When you fail to come to work, it causes problems:

Other employees have to do your share of work.

The efficiency of the department suffers.

The customer’s agents and clients may not receive the service they expect.

You will not be paid for time not worked as a result of tardiness and absences. Remember, although your assignment may be temporary, it does not mean the hours are flexible. Poor absenteeism and/or tardiness may be grounds for disciplinary action, up to and including termination from Kelly Services. Kelly employees who develop a pattern of absenteeism or excessive attendance issues may be terminated. A “pattern of absenteeism” or “excessive attendance issues” may be construed as: more than two absences or instances of tardiness within a two-week period.

Calling off work after your shift has already started or failing to arrive as scheduled without first notifying Kelly Services will result in automatic dismissal from assignment and termination from Kelly Services.

If you are going to be absent or late you must notify Kelly Services at least 1 hr before your assignment is scheduled to start. In some instances your Case supervisor may ask you to notify their department, which is acceptable to do as well. If you are calling to notify us that you are going to be late, please be prepared to offer an estimated time of arrival at your assignment. It is perfectly acceptable to leave a voicemail notifying us of your intended absence/tardiness. Your On-Site Coordinator will contact your Case Western Reserve supervisor for you.

Privacy Policy

In order to maintain the trust and confidence of its clients and to attract future clients, all CaseWestern ReserveUniversityemployees and contractors are expected to observe the highest ethical and professional conduct while performing their work. Failure to properly safeguard confidential and restricted data may expose Key and the employee or contractor to: the risk of fines, penalties, criminal and civil prosecution, damage to Case Western Reserve’s reputation, costly loss of business, and disciplinary action up to and including termination of employment.

Timekeeping

You are paid weekly according to your submittal of hours electronically into the Peopleclick System. Your On-Site Coordinator will provide you with a Peopleclick User Guide. You are required to input your hours worked on a daily basis. All time must be entered before 11:59pm EST on Sunday, following your workweek. If you cannot submit your Peopleclick time on time, please contact your Kelly On-Site Coordinator to make arrangements for your hours to be recorded. See your user guide for additional details.

Overtime is possible on this assignment only if pre-approved by aCaseWestern ReserveUniversity supervisor or manager.

In compliance with State of Ohio labor laws, Kelly employees will be paid at an overtime rate (time- and-a-half) for any hours worked over 40 regular hours have been logged in a single work week.

Overtime will not be paid for working a holiday unless you have already worked 40 hours for the week.

Paychecks

One of our highest priorities at Kelly Services is paying you quickly and accurately. As long as you submit your time promptly and accurately at the end of your workweek, expect that your pay will be processed by Friday of the following week. Kelly offers two electronic pay options - direct deposit or payroll card. Please note that until your enrollment in an electronic pay program is complete (usually within two pay periods), you will receive a paycheck by mail.

Guidelines for Conduct on Your CaseWestern ReserveUniversityAssignment

Common sense, good judgement, cooperation, and appropriate personal behavior are the responsibility of every Kelly employee on assignment at Case Western Reserve University. As a Kelly employee, we expect you to be courteous and professional at all times.

Phone Calls
Case should NEVER receive phone calls for Kelly employees. Your On-Site Coordinator will relay emergency phone messages only (messages which concern the health or safety of a family member). / Cell phone and personal calls are only permitted when Case Western provides permission and during breaks or lunch.
CaseWestern ReserveUniversity’s Property
Case’s computers, information systems, and other equipment are restricted to business use only. Depending on the nature of your assignment, you may be provided with Case’s property and/or equipment. You are required to maintain the condition of any Case’s equipment and return it at the completion of your assignment. / If you are provided with Case Western equipment, you must maintain the condition of that equipment.
Personal Belongings
Kelly and Case Western are not responsible for lost or missing personal belongings.Because temporary assignments can end at any time, we recommended that the personal belongings you bring to work be kept to a minimum so that your things do not get left behind. / Do not bring personal items to work.
Borrowing/Lending
You are advised not to borrow or lend money, valuables or personal belongings to or from others. Kelly and CaseWestern ReserveUniversityare unable to assist you in the return of such items. / Do not borrow or lend money or valuable items.

Policies and Procedures

In addition to the policies described in this guide, there are several Kelly Services Corporate Policies, which we feel are important to mention – you are advised to reference the Kelly Employee Handbook for more information on these policies: Equal Employment Opportunity, Sexual Harassment, Drug and Alcohol, Weapons. Regardless of which customer Kelly employees are assigned to, Kelly policies are in effect and must be adhered to by all employees. CaseWestern ReserveUniversityalso has identical policies governing their employees, which are strictly enforced by the company. If you have any questions about these policies, please contact your Kelly On-Site Coordinator.

Smoking/ Smokeless Tobacco Policy

Case is a smoke free environment. Smoking is allowed only in designated areas outside the building. Smoking in any other area will result in termination from this assignment.

/ Breaks
Lunch and break schedules will be determined by your Case supervisor. Please respect the schedule set out for you by your supervisor and be sure to return from lunches and breaks at the appointed times
/ Check-in Procedures
Many entrances to CaseWestern ReserveUniversityrequire that you either have an access badge or check in with security. Until you are granted an access badge, please be prepared to present security with your photo ID.
/ Assignment Duty Changes/Moves
As a Kelly employee, you are required to contact your Kelly On-Site Coordinator immediately with regard to significant changes/increases to your assignment responsibilities. In addition, Kelly Services must be notified whenever you are moved to a different department within Case. Kelly Services, as your employer, is responsible for knowing where to locate you in the case of an emergency.
/ Dress Code
Kelly employees are expected to dress in a respectable manner that reflects a positive image for both Case Western Reserve University and Kelly Services. CaseWestern ReserveUniversity’s standard dress code is Business Casual.
Appropriate:
Closed-toe footwear.
Dress Pants or Dockers-style pants. Business skirts and dresses
Short-sleeved or long sleeved blouses, button-down shirts, crew neck shirts, polo-type shirts and collared shirts.
/ Inappropriate:
Provocative, distracting or revealing apparel
Jean or denim type attire
Apparel that exposes the shoulders, midriff or back; even when raising your arms your shirt/top must touch your pants/skirt.
Shorts and skorts
Leggings, work-out clothing, spandex or beach type clothing
Clothing that has split seams, frayed, patched, stained or holes; even if you purchased your clothing with holes
Clothing with offensive language or designs
Sweat suits, sweat pants or windbreaker pants
Open-toed shoes, Beach Type and flip flops/crocks
/ Drug Free Workplace Policy
Kelly Services abides by the Drug-Free Workplace Act. We believe a drug-free environment is vital to the safety and well being of our employees and customers. Additional information is contained in the Drug-Free Workplace pamphlet available from your Kelly supervisor.

Weapons and Workplace Violence Policy

Weapons Policy

A weapon is defined as any object capable of causing serious bodily harm and/or death. Weapons of any kind, whether or not concealed, are prohibited on Kelly’s or its customer’s premises, in connection with one’s employment with Kelly. Employees of Kelly who intentionally, knowingly or unknowingly carry a weapon on Kelly’s or its customer’s premises are subject to immediate termination of employment based on non-compliance with Company policy.

Workplace Violence

Kelly Services, Inc. is committed to providing a safe and secure work environment - one that is free of violence, threats, intimidation and harassment. Threats, threatening behaviors or acts of violence against Kelly employees, customers, visitors, guests or other individuals while on Kelly’s or its customer’s premises, in connection with one’s employment with Kelly, are not tolerated.

Harassment Policy

Kelly takes all steps reasonably possible to ensure that employees and contractors work in an environment free of harassment. Kelly will not tolerate harassment of or by employees, contractors or customers. Employee conduct that constitutes unlawful harassment (intentional or otherwise) of another employee(s) will not be tolerated. Employees or contractors engaging in such conduct will be subject to possible disciplinary action up to and including termination by their employer.

What is Harassment?

Harassment occurs when behavior or actions cause someone to feel threatened or uncomfortable.

Addressing a person based on their gender, race, disability, age, national origin, sexual orientation, or other differences causes someone to feel threatened or uncomfortable (even if that person is a third party) can provide grounds for a sexual harassment claim.

Harassment is illegal and against the policies of your employer.

Guidelines to Follow

Inappropriate Remarks - Do not refer to a co-worker, manager or subordinate as a sexual human being or refer to his/her physical looks in a sexual manner.

Sexual Generalizations - Do not make insinuations based upon a person’s gender.

Physical Contact - Most forms of physical contact do not belong in the workplace. Even an embrace or innocent gesture may make someone feel awkward.

Inappropriate or Suggestive Literature - Calendars, inappropriate web sites, emails, jokes, etc. are inappropriate.

Sexual Jokes/Antics - When used in the workplace are inappropriate. This includes innuendo.

Nicknames - Calling any co-worker or subordinate such names as “sweetie,” “cutie,” “dear,” etc. should be avoided in the work environment.

If you believe you are being harassed, and you have asked that the behavior stop and has not, you need to contact your Kelly On-Site Coordinator immediately.

Safety

FollowCaseWestern ReserveUniversity’s safety rules, particularly those regarding the operation of equipment. Depending on your assignment you may be required to take safety classes, including and up to Bloodborne Pathogens training, Laboratory Safety Training, Right to know Training, Radiation training. Your Kelly Services coordinator will inform you if safety classes are required for your assignment and schedule the training with you. Obtain instructions before trying to operate unfamiliar equipment. Immediately report any unsafe conditions you notice to your assignment supervisor. Locate the aisles, stairways and exits you should use during an emergency. If you are injured on this assignment, contact Kelly immediately.

Holidays and Benefits

Holidays: Work and be paid for 900 hrs for 26-week period prior to the holiday.Work and be paid at least 30 hrs the week prior. The following are paid Kelly Holidays for those temporary employees meeting Kelly holiday pay requirements noted above: New Year’s Day, Memorial Day, Labor Day, Independence Day, Thanksgiving Day, and Christmas Day.

Emergency Evacuation Procedures


Evacuation
/ Evacuation maps are posted throughout CaseWestern ReserveUniversity’s buildings.
After evacuation, do not re-enter the building under any circumstances until the building has been officially cleared and authorization has been make for re-entry. / Listen for notification from Security.
Exit the building.
Follow department evacuation plan.
Make sure you have been accounted for.
Keep driveways clear for emergency vehicle access.
Re-enter building only when authorized.
Fire / If you notice fire or smoke, notify a supervisor immediately.
DO NOT ATTEMPT TO HANDLE THE FIRE YOURSELF.
If necessary, the premise will be evacuated. / Notify Supervisor of Fire/Smoke.
Follow strobe lights to exit building.

Tornado / Tornado warnings will be communicated through a sounding siren, announcement via intercom or announcement via bullhorn.
When this warning occurs, immediately go to one of the designated “safe” area:
When conditions clear, will announce that it is clear to return to work. / Listen for siren or announcement via intercom / bullhorn.
Go to a designated safe area.
Wait for announcement to return to work.
