Covington, Kentucky will host the AIA Ohio Valley Region Convention October 1-3, 2009. The convention expects to bring together well over 400 architects from all areas of the region for three days of programs and networking.
Convention Theme: Connections and Collaboration
Potential focus areas: Sustainability, Emerging Professionals, Longevity of the Profession, Design, Surviving Difficult Times/Practice Management, Infrastructure, Health Care, Schools. Submitters are encouraged to collaborate on programs. The committee will look favorably on programs that show strong collaboration.
While we encourage presentations applicable to one of these focus areas, the Convention Programming Committee will review and consider alternate program submittals. We specifically encourage submittals geared towards Emerging Professional / Associate-based issues. We also plan to offer several programs that meet the new AIA Sustainability Continuing Education requirements.
Presentation Requirements
All presenters should complete the attached Presentation Submission Form with contact information, a brief biography for each presenter, and topic description. The number of presenters for each program proposal should not exceed three. Refer to the attached Presentation Submittal Guidelines for additional requirements. All documents should be delivered by via e-mail to Kate Brunswick’s attention as listed below.

PRESENTATION SUBMITTAL GUIDELINES

Proposals must be submitted by email,
and must be received by the deadline of April 10, 2009.
Submissions must include a completed Presentation Submission Form. The Presentation Submission Form should be sent as an attachment in a Word or text file – NOT A .PDF FILE. Please put AIA Ohio Valley Region Convention Proposal in the Subject field of the email. Proposals not meeting guidelines will be disqualified.

Speaker(s): List the name of all presenters in your session. Include their title, company or firm, professional affiliations, full mailing address, phone, fax, and email address. Describe each person’s speaking experience and his/her expertise with the particular seminar topic. Include a brief biographical narrative on each speaker. We use this for the description of the speaker in the convention program. This requirement is extremely important, and failure to provide complete information will result in disqualification. Do not send full resumes. If there will be more than one speaker or panelist for your seminar, indicate who the Primary Contact will be. This person will receive all information regarding the program and will be responsible for forwarding it to other speakers/panelists.
Program Description: In 200 words or less, describe your program/presentation and how it relates to the theme of the convention, which is Connections and Collaboration. Be as specific as possible about the learning that will occur and the benefits to the participants attending your session. In the description, list at least three learning objectives or outcomes for the participants in your session. For example: Participants will be able to identify, calculate, apply, etc. If selected, your program description will be used in the convention program to promote your session. It will also be used to apply for AIA Learning Units.
Presentation Format / Length: Indicate the instructional techniques you will use for your session and indicate what, if any, audio-visual requirements your program will have. The audiences will range from 15-50 participants with varying degrees of experience. Your proposal should clearly describe your presentation format.
· Short lectures: You can use short lectures at the beginning of your session to generate discussion, or provide a series of short lectures each followed by discussion.
· Case studies: A favorite among architects, this format should be developed using facts, situations, problems or data with questions to generate discussion and solutions.
· Workshops: Interactive demonstrations of study, processes, or craft.
· Slide presentations: This includes videotape, film computer display (PowerPoint, etc.); may be used as the basis of discussion.
· Panel presentations: This may be a series of short lectures or a Q&A segment coordinated by a moderator.
· Other: Describe your presentation format if different from above.
State the optimum time needed: The Convention programming has been designed to accommodate programs 1 hour, 1 ½ hours or 3 hours in length. All programs must allow time for questions and comments from the audience. Indicate if there are any days or times during the convention when you are not available to speak.
Participants will earn Learning Units: Indicate if the subject matter qualifies for HSW credits. A minimum of 75 percent of the program’s content must relate to one or more of the HSW subject areas to be considered for HSW credit. A compilation of HSW subjects is available from the AIA’s Continuing Education Department (visit www.aia.org and click on Continuing Education). The convention committee will look favorably on submissions that meet the new AIA Sustainability Requirements. Sign Your Submission: All proposals must be signed (electronic signature is acceptable). The signature designates who will be notified following the selection process and whose responsibility it is to notify the other panelists of the outcome, if applicable. Additionally, your signature indicates your agreement to follow the AIA guidelines and deadlines for convention speakers.
Selection Criteria: Your proposal will be evaluated by members of the Convention Programs committee, against the following criteria:
· Well-defined program focus and clarity of the proposal
· Overall quality and potential to contribute to a well-balanced convention program
· Singular and dynamic approaches to the subject material
· Relevance to the profession and theme of the convention
· Practical applications of materials or ideas
· Level of interaction
· Speaker’s experience
Proposed programs must be generic in nature and not sell or promote any specific product or service. The content must contribute to the continuing education needs of AIA members, be relevant to the convention theme, and contribute to the body of knowledge of the practice of architecture.
If You Are Selected: All submitters will be contacted via email. Selected speakers will have an opportunity to gain visibility and increase their role as a leader within the profession as they share their expertise. AIA member presenters will be able to earn learning units (LUs) toward meeting their AIA/CES membership requirement of the learning acquired while researching and preparing their presentation. No credit is earned for presenting.
You will be required to submit a master copy of your handout materials. The deadline for submission of handouts to AIA Ohio is September 1, 2009.
Speaker Expenses: Speakers will receive one complimentary convention registration per program, which covers one presenter for all activities generally covered by the registration fee during the convention days, including breakfasts, lunches and programs. This does not include special events, pre-convention workshops, icebreaker, awards banquet, golf or tours or activities for which an additional fee is required.
