November 3, 2016 PTO Meeting Minutes
In Attendance: Abby Groff, Brandy Derr, Jenn Hickey, Alicia Ressler, Heather Gallagher, Beth Horst, Dee Greenawalt, Jenny Roberts, Debbie Adams, Patty Aungst, Mrs. Baker, and Mrs. Miller
Meeting called to order by Abby Groff, PTO President
I.Meeting Minutes- October 2016 approved.
II. Treasurer’s Report:
Income: ($22.25): 3rd grade field trip checks.
Expenses: ($200): cash box to keep on hand for upcoming events,
($222.25): 3rd grade field trip expense
($44.25): Student Rewards- Ice cream party supplies.
Principal’s Fund: Faculty treat, Indoor Recess Supplies, Bus Driver
Appreciation Week.
III. Student/Family Meetings:
- Game Night- Debbie Adams- 78 people in attendance. This is a
Decrease from the average of 120 to 140 in previous years. Lots of
fun and great raffle prizes
Expenses: $77.00
Income: Snacks- $116.25 and Raffles: $114.00
This will be entered into the budget.
b. Recess Running Club: Marticville’s running club is underway.
Sixth grade has the most participants. Five $10 gift cards were donated
by Darrenkamp’s for turkeys. One gift card will bedonated for each 5K
that is recorded.
c. Book Fairs at host schools: Martic Elementary and Pequea
Elementary will hold their book fairs next week.
Students at PequeaElementary will have class time to go to the
book fair and should bring money with them. This information will
be posted on the blog. The book fair will NOT be open at Pequea
during Conestoga’s evening conferences.

The Martic Elementary School book fair will be open Wednesday
from 1:30 to 8 pm and also during school time. Marticville Middle
School and Conestoga Elementary will not have a book fair.
d. Teacher’s Conference meal- Bobbie Sue Heistand- a few spots
remain open on the Sign Up Genius for salad, desserts, and rolls.
e. Santa Shop: Heather Gallagher: Event is scheduled for 12/2. They
have a Santa. 9 vendors are confirmed. A sign is made to post at
the front door during teacher conferences announcing the date and
time of the event. A Sign Up Genius was created. They are still in
need of gift wrapping and a clean up person.
f. Garden Committee- Beth Horst and Val Holbock- Meeting this
Monday night to work on details for wreath making event. They will
be able to make 20 wreaths. A craft will be available to make. We
have not heard back yet about the Grant that Mrs. Baker applied
for to help pay for the end of year event tentatively scheduled at
Lancaster County Park. Primary will attend in the morning and eat
lunch. Intermediate will eat lunch and attend in the afternoon. A list
of twenty topics will be narrowed down to age appropriate
programs. Teachers will choose the topic. The cost will include four
Naturalists ($544) and pavilion rental ($132.00). The total estimated cost
Including transportation is$1600 to $1800.
IV. Fundraising:
a. Box Tops: 5,017 collected this fall to earn $501.70. This $100
more than last collection. There will be a contest against the
schools in the spring.
b. Sub Sale: Jenny Roberts-The goal is to earn $3,500 from this sale.
The numbers will be tallied later tonight. 100 students participated.
In comparison, approximately 130 to 140 students participated in
the Wolfgang fundraiser last year. There are 4 or 5 people on the
fundraising committee. They may need additional help. Mrs.
Williams has a list of special event helpers that can be contacted.
The subs will be divided by student when they are delivered to the
school at 4 pm. Pick up time is between 5 pm and 7 pm at Pequea.

c. Spring fundraising options: Additional fundraising ideas:
Gertrude Hawk, Chicken BBQ, vendor bingo (with silent auction
And food), possibly sell subs again, dance-a-thon, fundraising
cards for local business discounts, Penny Extravaganza. We still
need to raise $12,000 for the budget for this school year. We will
need to raise $22,000 for next year. Any suggestions are welcome.
V. Teacher’s Report: Mrs. Miller: 1st Grade field trip was to Plumpton Park
Zoo and Herr’s Snack Factory tour.
VI. Principal’s Report: The Grant request for the end of year garden event
has been completed and submitted. This year has been very hectic.
Lunches are either early or late. The host schools have been incredibly
accommodating with including Conestoga in all their events.
VII. Miscellaneous:
a. Conestoga will NOT participate in Martic’s Fulton field trip.
b. Conestoga will NOT participate in Pequea’s VIP lunch (Notices were
accidentally sent home for Conestoga Kindergarten students), but we may
consider a VIP lunch on a separate date for Conestoga’s Kindergarten, 1st,and
2nd grade.
c. Penn Manor social workers made a request for a donation of ten$20 gift
certificates for Darrenkamp’s for turkeys for needy families. Letters were
mailed out to the community. The Thanksgiving meal program was
discontinued this year. Each grade has been askedto donate specific
items. The social workers are asking if we canhelp with the turkey donations.
TheExecutive Board has agreed touse money from the Pay it Forward fund for
fivegift certificates to donate in addition to the five gift certificates being
donatedby Marticville’s recess running club.
d. Thanksgiving donations by grade: Donations are low. A reminder will be sent
out on the blog. Parents can bring donations to conferences.
e. Bus Driver Appreciation: Bobbie Sue Heistand- Bus drivers weregiven a gift of
soap and a card. Mrs. Baker gave a gift of gum witha message saying: Thanks
for going the EXTRA mile and a bag of chips with the message: You are all that
and a bag of chips!

A special THANK YOU to the volunteers who helped with game night, Box Tops, and getting the fall fundraiser under way! These events would not be possible without your help!
Next meeting is scheduled for December 1, 2016 at Pequea Elementary.
