JOB DESCRIPTION: SUPPORT STAFF

NAME:

JOB TITLE: Facilities Manager

SALARY SCALE: Scale CVCC E

HOURS OF WORK: 32 ½ hours per week, all year around.

Substantive hours 9:00 4:00 x 5 days per week

PURPOSE OF JOB

Responsible for the daily management and upkeep of the site and premises, ensuring that the grounds and buildings are well maintained and cleaned, and that temperatures meet workplace standards. Participation in, and management of, the annual site maintenance programme. Responsible for ensuring that all Health & Safety legislation is adhered to by the team and contractors on site. Identify training needs of the team and undertaking risk assessments.

KEY RESPONSIBILITIES:

General Facilities

·  Maintain and operate accurate management reporting, performance monitoring and administrative systems.

·  Liaise with all internal departments to ensure that general facilitiesissues are dealt with in a timely manner.

·  Manage premises database.

·  To be responsible for maintaining constant awareness of the physical condition of the building, furniture, fittings and equipment

·  Complete performance management and procurement of contracts supplying services to the College.

·  Manage basic maintenance and minor refurbishment works.

·  Produce specifications and seek quotes and tenders, as appropriate.

·  Supervision of external contractors.

·  Supervise all property services including managing the service providers

·  Emergency 24 hour call out for security alarms

·  Assist Caretakers with workload including the unlock/lock procedures, during times of staff absence as required

Health & Safety

·  To review all statutory testing requirements.

·  To contribute in the provision of a safe and healthy environment for all site users. Where delegated to do so by the College Manager, undertake duties as a Safety Liaison Officer.

·  Complete H&S and fire risk assessments and audits.

·  Manage accident reporting system

·  Ensure site Health & Safety and Policies & Procedures conforms to legislation

·  Responsible for monitoring and reporting Health & Safety compliance issues and ensure fire and office safety systems meet local laws

Finance/Personnel

·  Manage/monitor departmental budget

·  Raise/authorise orders

·  Oversee and support the premises team, including staff appraisal and development.

General Administration

·  Administration of key database

·  Administration of lettings system, both internal and external (including weekly caretaking schedule and invoicing.

Holidays

Two weeks to be taken during term time, additional allowance to be taken during school holidays.

ADDITIONAL RESPONSIBILITIES

To assist with a diverse range of other tasks as and when they arise.
