Use of Email ID & Mobile Number While Incorporation of Company

While incorporating a company / LLP there are following situations in which email id and mobile number is required to be filled in the application form. For obtaining a digital signature & DIN applicant email id is mandatory in nature.

  1. While applying for digital signature (DSC)
  2. While applying for Director Identification Number (DIN)
  3. While applying for name Approval of Company
  4. While filing for registration of company /LLP/OPC

While in 1st and 2nd situation (DSC and DIN) use of email id and mobile number of applicant is mandatory under law. Please note that during the process of digital signature a challenge code is sent to the email id / mobile number of the applicant. It is, therefore, necessary for the applicant to provide correct and working email id to us. At the same time applicant hereby undertake to forward the email id and sms which is received in connection of DSC and DIN to us. Authorization for the use of Email ID for Name approval and registration: In an e-filing scenario there are many communications which are exchanged between the registrar of companies and the consultants (team KPS in your case), practically it is preferred that we use our email id which is monitored by professionals. The email alerts are sometimes technical in nature which can be understood and appreciated by a qualified professional only. We recommend that you authorise us for using or as email id while incorporating the company. Almost most of our clients prefer this for the simple reason that even if there is any legal information which is passed to us we will understand and appreciate that and take remedial action immediately. How to change Email id later on in the records of MCA : There are two ways you can change it.

  1. When you file anannual return, you may give the new mail id, once it is filed, the existing mail id shall be replaced with the new one.
  1. You may take the print out of the master data sheet of the company, and at the bottom, there's a space for requesting for any corrections. You may give your new mail id to replace the old one and submit to ROC with a covering letter on the letter head of the company.
